The Specialist, Clinical Application is responsible for managing the clinical implementation, and ongoing clinical evaluation of the Organ Allocation Information System (OAIS) to ensure it meets the needs of TGLN and external users. The Clinical Application Specialist is responsible for coordinating required and requested clinical requirements/enhancements to the OAIS, aligning OAIS workflows with business processes, co-ordinating UAT, developing education related to correct use of the OAIS and developing solutions to OAIS related clinical concerns or problems

Here is what you will be doing:

  • Subject matter expert (SME) and initial point of contact for TGLN PRC-Organ and Transplant staff as well as external transplant program staff and lab personnel (end –users of the OAIS);

  • Gather, review and confirm business requirements and clinical workflows from end users for functionality, data, reports, meta data, training, service levels, data quality, system performance and data sources for the OAIS;

  • Develop recommendations to inform the design of the system, including the user interface to support patient registration, organ allocation and patient outcomes;

  • Understand stakeholder challenges in the context of building requirements and recommend solutions that address business needs and expectations;

  • Utilize research and evidence based practices to provide recommendations and guidance to adopt best practices, streamline workflows and optimize system performance within the limitations of OAIS capabilities and standards;

  • Accountable for identification and on-going development of process and system improvements to increase business efficiency and customer satisfaction;

  • Responsible for preparation of business documentation including Business Requirements Document, Functional and User Interface Specifications and process flows, while adhering to strict deadlines on complex projects;

  • Liaison between the OAIS vendor and business departments to:

    • identify and resolve clinical system issues

    • design, plan and implement clinical system enhancements

  • Foster and manage stakeholder relationships by:

    • soliciting regular feedback on OAIS design and performance

    • communicating updates and changes using vendor prescribed change management cycles

    • Collaborating and working closely with IT vendor team to ensure that project and change requests are delivered on time, with quality;

    • Evaluating/verifying requirements were met by conducting UAT testing throughout and testing of the final product/enhancement in a training environment with end users;

  • Lead testing and test execution and monitoring, including completion of testing artefacts (i.e. test scripts) and strategy development;

  • Manage the change process during initial implementation and with on-going enhancements;

  • Work with end users to ensure requirements are met, and changes meet business needs;

  • Work closely with Senior Business Analyst to ensure that the initial roll-out will address business challenges;

  • Define, develop, document, communicate and manage the clinical change request process for OAIS enhancements;

  • Coordinate the integration of requirements into recommended system solutions with IT vendor’s technical team;

  • Identify and develop metrics to support continuous quality monitoring and improvement..

  • Maintain documentation that reflects updated workflows, and system enhancements;

  • Provide status updates to Vice President, Clinical Transplant Systems;

  • Facilitate and manage internal and external stakeholder communications in regards to changes and enhancements to the OAIS system;

  • Participate in steering committees and other stakeholder forums to ensure business alignment with proposed solutions, provides input to vendor and client’s operational plans and project resource decisions;

  • Provide on-going maintenance of system enhancements and process or workflow changes;

  • Document changes and works with IT vendor or internal IT team; make applicable changes for implementation.

  • Develop training and support materials and participate in training initiatives;

  • Develop and implement data collection processes to ensure data used for reporting is of high quality;

  • Develop and execute user acceptance test plan and workflow;

  • Evaluate training and identify gaps for continuous improvement

Here is what you will need to be successful:

Education and Experience

  • Bachelor’s degree in a health discipline required; preferably a BScN, Health Informatics or Healthcare Administration

  • Minimum five (5) years of recent experience in organ donation and/or transplantation or a combination of equivalent experience and education;

Knowledge and Skills

  • Experience in the development and delivery of educational materials;

  • Demonstrated experience in leading educational initiatives preferred;

  • Lead the partnership with the IT project team and clinical leadership to jointly identify, resolve and escalate issues;

  • Demonstrated change management experience including defining, developing, documenting and communicating the change request process;

  • Experience working on project teams defining business requirements, clinical workflow and participating in the design, development, and testing of clinical software applications;

  • Experience with the development and completion of documentation including business requirements, functional and user interface specifications, and process flows;

  • Proven experience defining and developing metrics;

  • Experience working with IT vendors to successfully identify and implement system changes;

  • Demonstrated ability to multi-task and prioritize;

  • Proven communication and interpersonal skills, including an ability to work effectively with people at all levels;

  • Proven analytical, evaluative, and problem-solving abilities;

  • Organized, with strong attention to detail and adaptable to change;

  • Demonstrated interest in designing health information systems to support and improve clinical processes

  • General computer skills; word processing, spreadsheet; diagramming; and presentation software skills are required.

  • Expert working knowledge of TOTAL and iTransplant functionality preferred.

  • Exceptional written, oral and presentation skills.
