Osler is hiring a Senior Specialist, Client Events to join our Client Development & Marketing Team. This role is located in our Toronto office and reports to the Manager, Client Events. This individual will be working directly with partners, business development and senior management in the planning and execution of client in-person and virtual seminars, webinars and client social events. We are looking for someone who has experience running webinars and is familiar with webinar and virtual event technology.

Major Responsibilities

  • Support leadership and serve as right hand to the Manager, Client Events : Act as a key support to the Manager, Client Events in the planning, coordination, and execution of the firm’s client events — including seminars, webinars, client social events, and sponsorships, both in-person and virtual
  • Oversee event intake and workflow : Oversee the flow of event requests, ensuring timely intake, evaluation, and assignment. Assign projects to team members in alignment with workload, skill sets, and strategic goals
  • Work directly with partners and business development on the creation of event briefing documents to ensure that event objectives and goals are understood
  • Manage virtual event technology requirements, including the firm CRM (OnePlace), CMS (WordPress), Zoom and our preferred webinar platform (ON24)
  • Train lawyers and guests on how to use the ON24 webinar platform and manage all event logistics on the day of the event
  • Coordinate with our writing team on the drafting of event invitations
  • Compile and analyze post-event surveys and feedback and arrange appropriate follow-up
  • Continually evaluate our client event offerings to ensure they are on brand and consistent in delivery
  • Source and develop strong relationships with external vendors in support of the firm’s event program
  • Some overtime is required (executing evening social events)

Position Requirements

Education and Experience

This position requires a college diploma or university degree. The role requires a minimum of 5 years of experience planning and executing events, ideally in a corporate environment. Experience in a legal or professional services environment is preferred. Experience with event technology, including ON24, Zoom, Marketing CMS is strongly desired. An equivalent combination of education, training, and experience may be acceptable.

Knowledge and Skills

  • Demonstrated knowledge of event planning and management principles, methods and techniques
  • Proficient with MS Office, including Word, Excel, Outlook and PowerPoint
  • Strong customer-service orientation
  • Ability to take ownership of projects, as well as multi-tasking multiple concurrent events
  • Superior accuracy, attention to detail, creativity, time-management and organizational skills
  • Excellent written and oral communication skills
  • We are currently working in a hybrid work arrangement, which includes a requirement to work primarily in the office and flexibility to work remotely up to 2 days per week.
