Overview

JLL is seeking an experienced Senior Space Planning & Move Manager to join our dynamic team in Calgary. This critical role combines strategic occupancy planning with hands-on project management, supporting our clients\' corporate real estate needs through data-driven space optimization and seamless relocation execution.

Responsibilities

Space Data Management - Occupancy Planning & Management (50% of role)

  • Serve as the primary point of contact for CAFM/IWMS database and drawing support
  • Lead recurring site data validation and space audits to ensure accurate seat assignments and floor plans
  • Maintain drawing compliance with established data standards and interpret portfolio changes
  • Support allocation cycles and provide subject matter expertise for related reporting

Strategic Planning & Implementation

  • Manage space allocation per approved master facilities plans for relocations and moves
  • Develop occupancy strategies with leadership teams and validate finance-approved headcount projections
  • Track and report occupancy metrics by department for cost allocation purposes
  • Analyze portfolio optimization opportunities across office and operational areas

Reporting & Analytics

  • Create regional occupancy plans reflecting supply and demand forecasts
  • Develop long-range occupancy strategies at building and organizational levels
  • Produce migration and stack plans by city and site
  • Generate current and forecasted headcount reports

Project Oversight - Move/Project Management (50% of role)

  • Manage project scope, budget, and timelines while proactively addressing out-of-scope items
  • Oversee procurement of necessary vendors and outside labor
  • Evaluate vendor performance to ensure compliance with standards
  • Coordinate with relocation teams, facility managers, and construction managers

Execution & Delivery

  • Supervise furniture installation and relocation services
  • Manage work orders and small project initiatives including furniture reconfigurations
  • Oversee product delivery, off-loading, and staging operations
  • Complete project close-out documentation and client reporting
Required Qualifications
  • 6-10 years of occupancy planning, facility, project, or construction experience in Corporate Real Estate
  • Minimum 2 years as an Occupancy Planning Manager, Senior Relocation Project Manager, or similar role
  • Proven experience managing 1000+ employee relocations
  • CAD/CAFM proficiency with move management modules and CAFM systems
  • Advanced Excel and MS Project skills; full MS Office suite competency
  • Knowledge of architectural drawings and space planning concepts
  • Strong organizational, communication, and analytical skills with executive-level client interaction capability
  • Ability to navigate ambiguity and solve complex problems
  • Detail-oriented with flexibility for travel and varied hours
  • Proven ability to multitask independently and collaborate effectively in team
  • Ability to work outside normal business hours when necessary
  • Capability to walk distances, stand for extended periods, and perform physical tasks including stooping, kneeling, crouching, or crawling
  • Ability to carry, lift, push, or pull up to 50 pounds
  • Occasional work in outside weather conditions
