Are you a strategic, bilingual communicator who thrives on deadlines and knows how to craft persuasive, client-focused proposals? Our architecture firm is seeking a Senior Proposal Writer to lead the preparation of high-quality submissions that win public and private contracts. You will manage the entire proposal process—from identifying opportunities to scheduling post-submission debriefs.

About the Role

The Senior Proposal Writer plays a central role in our business development process. You will manage and be responsible for leading responses to public Requests for Proposals (federal, provincial, municipal) and select private invitations. This includes strategy, content development, coordination with partners, staff, and consultants, and documentation of outcomes.

Key Responsibilities

  1. Monitor tender platforms daily to identify relevant opportunities.
  2. Lead the go/no-go process and develop proposal strategies with a Partner.
  3. Coordinate activities with the Partner-in-Charge.
  4. Work with the Marketing Director to validate branding.
  5. Develop and maintain detailed proposal schedules and checklists to meet strict deadlines.
  6. Analyze RFP documents to understand client priorities and evaluation criteria.
  7. Coordinate content inputs from partners, project managers, and consultants.
  8. Draft and edit proposal sections, including methodology, team bios, and project understanding—ensuring tone, clarity, and alignment with client goals.
  9. Solicit proposals from engineering firms and support partner selection of subconsultants.
  10. Track proposal progress and update the lead partner.
  11. Ensure final proposal submissions comply with page limits, formats, and protocols.
  12. After results are announced, schedule and lead client debriefs, and document feedback for internal review.
  13. Maintain a database of CVs, project sheets, boilerplate content, and imagery.
  14. Track proposal outcomes and contribute to continuous improvement.
  15. Manage the proposal writing team and delegate tasks accordingly.

Qualifications

  1. Minimum 5 years’ experience in proposal writing or marketing within architecture, engineering, or construction industries.
  2. Strong familiarity with Canadian public procurement processes and documents.
  3. Proven ability to lead and manage complex, deadline-driven submissions.
  4. Experience in collaborative work and coordination with peers, partners, project managers, and consultants.
  5. Excellent writing, editing, and communication skills in both English and French.
  6. Ability to improve partner- or manager-written content while respecting voice and intent.
  7. Highly organized, capable of managing multiple proposals simultaneously with precision.
  8. Solid experience in architectural, engineering, and/or construction practices.
  9. Proficiency with InDesign, Word, Excel, Deltek, and other relevant software tools.
