Job summary

Zeidler Architecture, a leading Canadian practice, seeks a Senior Proposal Specialist for our Toronto/Calgary Studio. You will lead coordination, writing, and production of competitive submissions from opportunity through to delivery, ensuring alignment with the firm’s brand and strategic goals.

The ideal candidate has 5–8+ years in proposals within architecture or design, exceptional writing/editing, and strong leadership to guide cross-functional teams in a fast-paced in-office environment.

Qualifications

• Post-secondary degree in marketing, communications, architecture, or related field
• 5–8+ years of relevant experience, preferably in architecture, engineering, or design industries
• Strong leadership and project management skills
• Excellent writing, editing, and organizational skills
• Advanced proficiency in Microsoft Office and Adobe Creative Suite (InDesign required)
• Ability to manage multiple deadlines with attention to detail

Responsibilities

• Lead the development, writing, editing, and design of competitive proposals in response to RFPs, ensuring clarity, compliance, consistency, and alignment with brand and messaging
• Collaborate with the BD team to shape proposal strategy, including identifying strong project examples, crafting vision statements, and supporting positioning efforts
• Manage proposal timelines, responsibilities, and inputs from internal teams and external consultants to ensure timely, high-quality submissions
• Customize project profiles, team CVs, and other content to fit the unique requirements of each pursuit
• Compile and format submission documents and oversee their delivery
• Research and evaluate bid opportunities on assigned platforms, supporting go/no-go discussions with strategic insight
• Maintain and update accurate collateral databases, including project narratives, team CVs, and boilerplate content
• Conduct peer reviews of proposals to uphold quality standards and share best practices across the team
• Support broader marketing and business development initiatives as required
• Actively contribute to a safe and respectful workplace, adhering to all health and safety policies and procedures
• Participate in firm-wide marketing initiatives and brainstorming sessions
• Able to work in a collaborative, in-office environment (100% in-office presence required to support direct team engagement and effective cross-functional coordination)

Job Summary
