The Role
VanDel Construction is currently seeking an energized and motivated full-time Senior Project Coordinator. The Senior Project Coordinator will primarily provide support in the coordination of construction activities including project planning, schedule management and documentation control.
Responsibilities:
- Lead the development and management of comprehensive submittal logs, incorporating critical path schedules, lead/review timelines, and milestone tracking to proactively mitigate project delays.
- Oversee tender preparation and conduct in-depth comparative bid analyses to ensure scope alignment, risk mitigation, and cost competitiveness.
- Strategically manage and monitor RFIs and submittals, ensuring timely resolution and alignment with project goals.
- Partner with the Project Manager in the oversight of billing cycles, including progress draws, client invoicing, and subcontractor payment applications to ensure financial accuracy and compliance.
- Provide high-level project administration, including risk tracking, document control, and coordination support across internal and external stakeholders.
- Conduct detailed drawing reviews and quantity takeoffs using BlueBeam, providing input to preconstruction planning and ongoing execution strategies.
- Review and approve submittals for technical accuracy, constructability, and adherence to contract specifications and design intent.
- Collaborate with architects, consultants, and engineers to proactively resolve design and coordination challenges.
- Draft, track, and manage technical inquiries to consultants and clients to ensure project clarity and reduce scope ambiguity.
- Supervise on-site quality assurance processes with a focus on interior and finishing work, ensuring conformance with project standards and specifications.
- Direct the coordination and evaluation of change orders, liaising between design professionals and subcontractors to manage cost impacts and ensure execution integrity.
- Manage deficiency tracking, reporting, and resolution during project closeout to maintain project turnover timelines and client satisfaction.
- Lead document management using Procore, maintaining version control, drawing logs, submittal/RFI workflows, and project correspondence.
- Represent the project team at OAC and trade coordination meetings, contributing to decision-making and documenting all key actions and follow-ups.
- Maintain updated drawing sets and lead change communication with all relevant subcontractors and vendors to ensure full alignment.
- Distribute and track all change-related documentation (CCNs, Bulletins, etc.), ensuring pricing is received, reviewed, and filed systematically.
- Set up and manage closeout documentation, including final as-built drawings, warranty documentation, and turnover packages for client handoff.
- Ensure drawing updates and change links are accurately reflected and organized within Procore for real-time accessibility by all team members.
Qualifications:
- Work alongside the Project Manager and Site Superintendent in project planning;
- 3-5 years experience in construction project coordinator or similar role
- Ability to work in a very fast-paced and demanding environment;
- Understanding of engineering and architectural design processes;
- Understanding of the Ontario Building Code and Ministry of Labour requirement
- Ability to provide simultaneous support for needs across multiple projects in various phases;
- Experience with Construction Management Software (Procore preferred)
- Proficient in producing Gantt chart construction project schedules in MS Project;
- Proficient in Bluebeam;
- Must hold a valid driver's license
- LEED Accreditation is preferred;
Education:
- Diploma or Degree in Construction related area;
- OACETT designation or working towards

Salary
- $34.89 - 45.89/hr
- minimum 44-hour work week
