Job description

Airswift is seeking a Senior Procurement Specialist to work with one of our O&G clients in Sherwood Park, AB, on a contract position until the end of the year, with a high possibility to become permanent.

Working under the direction of the Team Lead, Contracting and Procurement, and as part of a broader C&P team, the Contracting & Procurement Analyst will take on a dynamic and engaging role. Assigned to a specific location, the Analyst will be responsible for the day-to-day procurement of essential goods and services while liaising with various internal teams such as Engineering, Maintenance, Operations, and HSE. This role emphasizes adding value through process improvement, procurement execution, and stakeholder relationship building.

Key Responsibilities:

Contracting & Procurement (Pre-Award):

  • Manage end-to-end sourcing, contracting, and procurement processes for inventory and materials:
  • Action Purchase Requisitions (PRs) and provide guidance to requestors.
  • Lead the RFx process, ensuring strategies and evaluations are pre-approved, and assist stakeholders with documentation and system entries.
  • Complete evaluations, negotiations, and contract awards (e.g., Master Agreements, Work Authorizations, Purchase Orders), including resolution of contractual exceptions.
  • Create and manage purchase documents, ensuring correct types and proper communication of requirements.
  • Support initiatives led by SCM Category Management as needed.

Contracting & Procurement (Post-Award):

  • Manage contract and PO revisions when driven by scope, commercial, or schedule changes.
  • Expedite delivery of PO materials and communicate lead times and risk mitigation.
  • Assist in resolving invoicing and receiving issues linked to contracts or rate discrepancies.
  • Execute contract and PO closeout activities, ensuring all requirements are fulfilled.
  • Support contract audits and compliance checks.

SCM Governance:

  • Prepare and execute supply chain governance documents (e.g., Supply Chain Plans, Contract Award Summary forms).
  • Participate in compliance processes including KPI validation and root cause analysis.
  • Submit Value Creation forms and provide clarification when needed.
  • Assist with supplier spend analytics and internal SCM reporting requests.
  • Contribute to the completion of the annual SCM Contracting & Procurement Plan.

Supplier Management:

Coordinate supplier set-up and updates with Finance.

Manage the supplier qualification process:

  • Verify prequalification statuses and assist with onboarding systems.
  • Ensure qualifications include technical, financial, safety, and quality assessments.
  • Confirm supplier payment details are accurate and up to date.

Maintain supplier relationships:

  • Address disputes and facilitate onboarding and training.
  • Coordinate supplier performance evaluations and scorecard documentation.

Additional Responsibilities:

  • Build strong relationships with internal stakeholders and participate in site meetings as needed.
  • Collaborate with other facilities to achieve regional procurement objectives.
  • Work cross-functionally with Category Management, Materials Management, and Project Procurement to support broader initiatives.
