About the Role
  • Based in Newmarket
  • Starting ASAP to December 23rd 2025
  • $40-$48 per hour + 8% holiday pay (depending on experience)

We are looking for a proactive and highly organised Senior Personal Assistant or Executive Assistant to support two General Managers, one in Risk & Resilience and the other in Health, Safety & Environment (HSE) who work closely together to meet the organisation’s objectives.

This is a dynamic role that sits at the heart of risk management across the business, requiring someone who thrives in a fast-paced environment and is confident engaging with senior stakeholders.

Responsibilities
  • Managing Diaries and Inboxes
  • Acting as the go-to support for the GMs, anticipating needs and ensuring they are set up for success
  • Coordinating Meetings and aligning stakeholders to meet key deliverables
  • Proactively managing work flows and follow-ups, ensuring timely engagement of key stakeholders
  • Formatting Board reports
  • Keeping communications flowing smoothly and confidentially
  • Anticipating needs and staying two steps ahead to keep everything running like clockwork
About you
  • Minimum 5 years’ experience as a PA supporting senior leaders, ideally supporting multiple leaders in regulated industry
  • Exceptional stakeholder engagement skills, you know how to build trust and get things done
  • Forward thinking, you can anticipate needs and be proactive to keep things moving
  • Calm under pressure, with the ability to juggle competing priorities
  • Tech-savvy and Strong working knowledge of business systems and tools such as Advanced Microsoft Office, calendar and meeting management tools, SAP and SharePoint
  • Bonus if you have experience with billing, invoices, purchase orders and have used SAP!
