Associate Director at Professional Staffing

Professional Staffing is hiring on behalf of our client. We’re looking for an experienced Office Manager / Executive Assistant to support their CEO and leadership team while overseeing day-to-day office operations. This is a key position in ensuring both executive efficiency and a professional, high-functioning work environment.

About the Role

This dual-role position offers a unique opportunity to work directly with executive leadership in a collaborative, high-performance culture. The successful candidate will be highly organized, detail-oriented, and able to manage multiple priorities with discretion and professionalism.

Responsibilities include :

  • Manage the CEO’s calendar, coordinate meetings, travel, and prepare supporting materials
  • Serve as the first point of contact for internal and external communications to the CEO
  • Prepare meeting agendas, take minutes, and manage follow-up tasks
  • Handle confidential information with a high degree of discretion
  • Support board meeting logistics, presentations, and documentation
  • Oversee office operations including supplies, vendor management, and facilities coordination
  • Support onboarding for new hires including desk setup, IT coordination, and access setup
  • Coordinate company-wide events, internal meetings, and executive off-sites
  • Review invoices, track expenses, and support reporting and reconciliation efforts
  • Liaise with finance and HR on administrative matters and compliance tasks
  • Assist with planning and execution of special projects and communications on behalf of the CEO
  • Maintain an organized and professional office environment and act as the key contact for visitors and external vendors
  • Lead or assist with office relocations or office setup projects as needed

Qualifications :

  • 3+ years of experience in an Executive Assistant or Office Manager role, ideally in financial services, legal, or professional services
  • Proven track record supporting C-level executives in fast-paced environments
  • Strong organizational skills and ability to manage competing priorities
  • Excellent written and verbal communication skills
  • High level of discretion, judgment, and professionalism
  • Proficient with Microsoft Office Suite and calendar / expense management tools
  • Bachelor’s degree in Business Administration, Communications, or a related field preferred
