Role Description
Legal Assistant and/or Paralegal – Full Time Contract Position
The Legal Assistant will be responsible for assisting and coordinating the workload of lawyers within the firm. Assistants are responsible for tasks such as scheduling, drafting legal documents, gathering and organizing disclosure, filing court documents, diary of files and deadlines, coordinating file work with the lawyer, posting time and fees, billing and file management using our practice management software. The person in this role will be expected to work individually and to collaborate with other assistants in order to complete tasks in a timely and accurate manner.
Duties
- Maintain proper organization of all files, documents, and incoming and outgoing mail, faxes and email.
- Preparation, drafting and filing of court materials and other legal documents.
- Gather, organize, and compile file documents using appropriate channels and software.
- Complete regular and accurate client account billing, including the drafting of invoices and processing of payments.
- Maintaining proper trust retainers for files.
- Participate in the coordination and scheduling of client meetings, other meetings, and calls using a digital calendar system.
- Assist with the management and adherence to file and court deadlines.
- Follow office procedures with respect to client and file management.
- Preparation of real estate file documents, and assisting to open and close real estate conveyancing transactions.
- Drafting of estate planning documents as per lawyer and client instructions.
- Regularly correspond with clients, lawyers, and others in a professional manner.
- Adhere to procedure regarding the witnessing and commissioning of documents.
- Complete basic bookkeeping and reconciliation tasks.
- Additional duties, as requested.
Qualifications
- 4+ years of experience working as a Legal Assistant or in a similar role
- Experience in Civil Litigation, Criminal Law, Real Estate, Estate Planning, or any combination is an asset
- Paralegal/Legal Assistant/Administrative Diploma, or equivalent experience or training is required
- Proficiency in Microsoft Office Suite
- Experience using legal software is an asset, such as LEAP, Cosmolex, RealtiWeb, SPIN2, PC Law
- CORES certification is an asset
Salary is competitive with market, depending on experience.
