Overview

We are seeking a dedicated and detail-oriented Legal Administrative Assistant to join our dynamic team in a boutique criminal law firm in Toronto. The ideal candidate will play a crucial role in supporting the lawyers by managing various administrative tasks, ensuring smooth operations, and providing exceptional customer service. This position requires strong organizational skills and the ability to handle multiple tasks efficiently in a fast-paced environment. The ideal candidate will possess at least 5-10 years experience. Duties
  • Provide high-level support to senior partner and associates
  • Ensure and maintain strict confidentiality of all communications and highly sensitive materials due to nature of cases
  • Manage and prioritize partner's schedule and daily Court calendar
  • Arrange travel plans
  • Coordinate communications, track and follow up on daily requests
  • Identify and prioritize urgent issues in order to deal with and resolve immediately
  • Serve as primary contact for suppliers and vendors for all office-related tasks, including maintenance, stock inventory and purchase orders
  • Perform a variety of accounting activities, including preparation of client accounts, issuing cheques for prompt payment of invoices, preparing office expenditures and paying lawyers\' annual membership fees and dues
  • Process payment transactions, including credit card, electronic transfers and in-banking deposits
  • Liaise with Court staff, Offices of the Crown Attorney and of other Counsel in order to co-ordinate various meetings, calls and conferences (both virtual and in-person)
  • Prepare, draft and edit correspondence and various legal documents to meet Court filing deadlines in preparation for upcoming trials and hearings
  • Organize and manage hardcopy and electronic client files
Skills
  • Computer proficiency in Microsoft Office (Word, Outlook & OneDrive / SharePoint), Adobe Acrobat Pro and PC Law
  • Efficiency in oral and written communications, organization, time-management, multi-tasking and problem-solving
  • Attention to detail and possess ability to demonstrate professionalism and strong work ethic
