Job Summary

A Brief Overview

The Senior Gift Governance Officer plays a pivotal role in enhancing the operational efficiency of Advancement Operations and managing high impact projects related to governance, term revision and spending, research counting and the development of standard operating procedures (SOPs) that support Advancement. Reporting to the Associate Director, Gift Governance and Compliance, the Senior Gift Governance Officer also coordinates cross-functional teams to ensure project milestones are met in a timely manner.

Key Responsibilities include:
  • Develop, manage, and document governance processes associated with gift acceptance, ensuring clear and effective communication with all constituents.
  • As the primary point of contact for the Secretariat's Office (temporarily housed within Finance and Gift Services), establish a structured framework for approvals, supporting the continuity of this key Donor Experience function.
  • Collaborate with the Office of the Vice-Principal (Research and Innovation), to develop and implement a process for cross counting of philanthropic gifts to research.
  • Develop, implement, and maintain comprehensive SOPs for Advancement ensuring compliance with fund management policies, regulatory requirements, and internal controls, while providing clear guidance for team members and constituents.
  • Facilitate the implementation of process changes resulting from internal audits.
  • Prepare reports and documentation on gift governance activities, key issues, and outcomes for leadership review.

This position leads process improvement projects by determining the methodologies and presenting data and models to present recommendations to stakeholders. This position develops process improvement plans and implements risk management strategies. This position sets priorities and project objectives, outlines key deliverables and risk mitigation strategies, and maintains timelines. This position also identifies ongoing opportunities to improve plan performance.

What you will do
  • Determines the methodology to analyze data and presents recommendations to key stakeholders. Develops process improvement plans, identifies and implements risk mitigation strategies, and leads implementation.
  • Serves as project lead and unit contact for projects, including leading the working group to set priorities and project objectives, outlining key deliverables, and maintaining the timeline.
  • Identifies ongoing opportunities to improve plan performance. Vets opportunities and develops business cases for stakeholder buy-in.
  • Conducts research, data queries and performs analysis to identify opportunities for improvement.
  • Maintains a list of definitions of source values, and update as needed depending on data source.
  • Develops new queries for stakeholders. Provides and maintains documentation for university staff, developers, and other stakeholders.
  • Provides hands on training and documentation to users.
  • Other duties as required in support of the department and/or unit.
Required Education
  • Four-Year Bachelor Degree or equivalent. In addition, requires trade certification, qualification, or on-going learning to remain ahead of changes in technology or emerging fields.
Required Experience
  • More than 5 years of experience.
    • Experience working at a post-secondary education institution considered an asset.
    • Knowledge of relevant laws, regulations, policies, standards and/or guidelines considered an asset.

  • Effectively leverage relevant data as input to making decisions.
  • Appropriately assess risks before making a decision.
  • Comprehensive understanding of what sexual violence, harassment and discrimination are, and their varying effects on diverse members of the community.
  • Question and take appropriate steps to address attitudes, macroaggressions and other behaviours which are discriminatory. Acknowledges and respects diverse cultural traditions, abilities and beliefs.
