Job description

Our client in Mississauga, ON, a leader in their industry, is seeking aSenior Executive Assistantto provide confidential, executive-level support to theChief Merchant,Chief Financial Officer, andGeneral Counsel. This is a6-week contractwith potential for extension or permanent hire.

Benefits & Perks:

  • Hybrid work model:2–3 days/week on-site inMississauga, ON
  • Work hours:Monday to Friday, 8:30am–5:00pm

Responsibilities:

  • Provide high-level administrative and calendar support to the Chief Merchant, CFO, and General Counsel
  • Proactively manage complex calendars, prioritize meetings, anticipate scheduling conflicts, and ensure timely preparation for key events
  • Coordinate internal and external meetings, including logistics, agenda preparation, and background materials
  • Manage travel arrangements through KingConcur, including itineraries, bookings, and follow-ups for executives and occasionally for their direct reports or clients
  • Prepare and process expense reports, monthly expenditures, and credit card reconciliations
  • Support the Legal team by drafting and preparing legal documents, correspondence, and maintaining document management systems
  • Review timecards and ensure payroll accuracy using UKG, submitting to Payroll on behalf of executives
  • Draft executive communications, reports, presentations, and moderately complex correspondence
  • Maintain legal files, databases, subscriptions, and renewals
  • Plan and coordinate events and off-site meetings (venue booking, catering, materials, etc.)
  • Handle confidential communications, correspondence, and sensitive information with professionalism and discretion
  • Provide backup administrative support to other senior leaders as required
  • Perform general office duties including supplies ordering, mail distribution, and equipment coordination

Qualifications:

  • Must have 3–5 years of experience in a Senior Executive Assistant or Office Manager role, preferably supporting multiple executives
  • Must have Experience supporting legal professionals or working in a legal environment and working with legal documents, procedures, and terminology.
  • Experience in calendar management, expense handling, and complex travel coordination
  • Strong proficiency with MS Office Suite (Word, Excel, PowerPoint)
  • Exposure to UKG (or similar payroll systems) and KingConcur (for travel bookings)
  • Excellent organizational, multitasking, and prioritization skills
  • Exceptional interpersonal, verbal, and written communication skills
  • High attention to detail, discretion, and judgment in handling confidential matters
