Posting Summary

Rutgers, The State University of New Jersey is seeking a Senior Department Administrator SPVR for Music Department in Mason Gross School of the Arts ( MGSA ). This position reports directly to the Director of Music Department and a dotted line to the Associate Dean for Finance & Administration.

Among the key duties of the position are the following:

  • Serves as the chief non-academic officer for the Music Department.
  • Provides administrative leadership and oversees staff, accounting and budgeting, purchasing, personnel, facilities coordination, events, and all administrative, operational, and financial functions.
  • Builds and oversees a team and ensuring an inviting, professional, responsive atmosphere for students, faculty, staff, and other stakeholders.
  • Coordinates assigned administrative functions and daily operations for the Department, and all its programs, including supervision of employees; oversight and assignment of Department workflow; oversees coordination of space and facilities assignment and maintenance; purchasing; and policy administration.
  • Manages the collection, revision, and flow of information.
  • Manages departmental accounts, internal and external grants, faculty research funds, and other financial matters.
  • Analyzes and reviews financial data, prepares financial documents and reports for internal and external purposes.
  • Assists faculty and graduate students in developing research and fellowship proposals, including developing budgets and other business- or administrative-related aspects of applying for grants and the administration of the post-award process and reporting.
  • Maintains records on expenditures and regularly reconciles accounts and reviews University reports to ensure that accounts are within budget.
  • Oversees faculty affairs personnel. Interacts extensively with the University community, students and prospective students, the public, and external agencies and organizations.
  • Bachelor’s degree in business, or a related field.
  • Five (5) years of financial management experience, preferably in a non-profit or higher education setting.
