Position: Senior Associate (Contracts Coordinator), Digital Office – IT Business Services group

Employment Type: Permanent

Compensation Details :

  • Vendor Management 15: Salaries typically range from $63,894 to $85,194 annually, based on qualifications and experiences, plus a performance-based incentive.

Location:

  • Export Development Canada operates in a hybrid work environment, currently requiring employees to work in the office 2 days per week. (subject to change)

  • This role can be performed from EDC’s headquarters in Ottawa.

  • Relocation assistance is available for candidates who meet the eligibility criteria.

  • The Digital & Technology Solutions (DTS) group under the leadership of the Chief Information Officer was established in 2023 with the mission of empowering our customers and colleagues to take on the world, by seamlessly delivering secure and reliable digital experiences. Digital & Technology Solutions has set out to achieve the following objectives for EDC:

  • Define, execute, and sustain the integrated technology target state, target data model and technology operations required to enable EDC’s 2030 business transformation.

  • Establish and manage the rolling 3 Year Digital Roadmap that sequences the technology outcomes required to achieve the technology target state and facilitate its execution across all domains in the organization.

  • Keep pace with industry trends and emerging technologies, ensuring EDC has access to the digital technology tools it needs to stay relevant in the market and grow Canadian global trade.

  • Lead and ensure integrated digital, data, infrastructure, and cybersecurity implementations to create excellent customer, user, and employee experiences.

  • The Senior Associate, Digital Office is responsible for managing and delivering key services that support Digital Technology Solutions and its Leaders. This role manages the execution of core services and contract administration services that provide support to teams in Digital Technology Solutions. These services include recruiting and management of external consultants, contract administration, workforce administration, and reporting on operational metrics. This role participates in the development and implementation of new services and changes to existing services. The Senior Associate, Digital Office works directly with all levels in Digital Technology Solutions, Leaders, and partners with multiple internal teams such as Accounts Payable, Procurement, Technology Vendor Management, Security, Technology Service Desk to deliver services and regularly interact with external Suppliers.

  • The Senior Associate, Digital Office is responsible to deliver on prioritized services based on agreed upon service level agreements (SLA) and coordinates contract administrative services in support of Digital Technology Solutions.

  • The successful candidate must possess excellent customer service and communication skills and work well in a team environment. Having a continuous improvement mindset, defining standards and processes is a key success factor for the team.

What you will be doing:

  • Deliver key priority services and provides contract administrative support to Digital Technology Solutions.

  • Ability to navigate through complex situations with various internal teams and/or external vendors, informs team and escalates if necessary.

  • Support cross-training of services; contract administrative activities and prepares documentation for service procedures.

  • Support improvements through business cases development.

  • Execute pre-defined process to recruit external consultants and interacts with hiring managers, professional services suppliers, Security, Accounts Payable, Technology Service Desk, and Procurement.

  • Ensures operational compliance for policies and procedures executed by the team.

  • Manages onboarding and offboarding process of external consultants.

  • Processes all purchase requisitions for Digital Technology Solutions.

  • Manages and processes all Technology invoices monthly, interacts with Leaders, Suppliers, Accounts Payable, Technology Vendor Management and Procurement to ensure invoice discrepancies are resolve quickly.

  • Works with team members to implement new services required to support Digital Technology Solutions.

  • Respects and adheres to Service Level Agreement (SLA) and monthly reporting and metrics gathering and reporting for key priority services.

What we are looking for:

  • Education: Undergraduate Degree in Business Administration, Computer Science, Social Sciences, or related field.

  • Domain experience: Minimum 2 years’ experience in procurement, vendor management and/or related experience.

  • Domain knowledge: Basic knowledge of vendor management and/or procurement principles and practices.

  • Analytical capability: Solid investigative and analytical skills.

  • Communication skills: Excellent oral and written communication skills; ability to communicate with both business and technical audiences; strong listening skills.

  • Stakeholder management : Strong problem-solving abilities and strong ability to interact with all levels within the organization. Team player.

  • Initiative: Aptitude for learning new technology. Continuous improvement mindset.

  • Tools: Proficiency in the operation of computer applications (e.g. Word, Excel, Outlook, and other related programs such as Business Intelligence (BI) Reporting (Power BI).

What will make you stand out:

  • Functional experience: Experience with processing invoices.

  • Industry experience: Procurement experience with Government of Canada procurement vehicles (TBIPS). Experience using MERX.

  • Negotiation skills.

  • Language: Bilingual in both official languages (French and English).
