The opportunity :

Reporting to the Senior Manager of Operations, the Senior Analyst, Portfolio Management Systems, will play a critical role in providing comprehensive system support for portfolio management software. This role will act as the primary point of contact for system support inquiries from Portfolio Managers and other internal clients. The Senior Analyst, Operations, will serve as a subject matter expert in all aspects of systems, design implementation, testing and reconciliation. This role will serve as a liaison between internal and external teams to resolve transaction discrepancies, perform quality control of manual processes, and recommend automation opportunities.

Key responsibilities include :

  • Serving as the main point of contact for all system support inquiries from Portfolio Managers and other internal clients, providing prompt and effective solutions.
  • Offering expert guidance to users on optimizing their experience with our systems, ensuring maximum efficiency and functionality.
  • Accurately documenting all user interactions and system issues, maintaining thorough records for future reference and analysis.
  • Resolving software faults and system issues swiftly and effectively to minimize downtime and enhance the user experience.
  • Implementing effective solutions to address complex system problems, ensuring long-term stability and optimal performance across various operational systems
  • Managing data breaks, mapping new transaction types, and developing manual workarounds as necessary to optimize operational efficiency.
  • Implementing temporary workarounds until permanent solutions are achieved, ensuring minimal delays at market openings.
  • Investigating and resolving reconciliation exceptions, safeguarding data accuracy and integrity within discretionary reconciliation systems.
  • Troubleshooting and resolving complex system issues, optimizing system functionality, and providing detailed documentation of user interactions and system problems.
  • Conducting comprehensive training sessions for new users on our systems and tools to ensure they are fully proficient and confident in their usage.
  • Overseeing account setup and configuration on the system and server, ensuring proper access control and security measures are in place.
  • Collaborating closely with business analysts, project management teams, and other internal stakeholders to deliver customized reports, facilitating client communication, managing client conversion processes, and oversee implementations.
  • Serving as a liaison between internal vendor, custodian teams, and other internal teams to resolve transaction discrepancies, ensuring accurate financial reporting and compliance.
  • Maintaining robust relationships with reconciliation teams, key account managers, and service teams to foster effective communication and collaboration, essential for seamless operational workflows and advisor satisfaction.
  • Managing relationships with vendors and custodians, resolving issues effectively.
  • Supporting process improvement by performing quality control on manual procedures, identifying automation opportunities, and actively participating in change management initiatives to enhance operational efficiency.
  • Conducting daily reconciliations on Envestnet systems and SS&C as required, emphasizing a blend of creativity and speed while maintaining systematic precision.
  • Mapping new transaction types and collaborating closely with Business Analysts and Project Managers to define detailed business requirements for precise system configuration.
  • Managing special requests from senior management, ensuring timely and accurate responses. Implementation Tracking.
  • Tracking software implementation status, performing user acceptance testing (UAT), and ensuring successful deployment and user satisfaction.
  • Ensuring data accuracy through thorough analysis and verification, maintaining high standards of data integrity.
  • Providing coverage supports Reconciliation systems.
  • Staying updated on professional and technical knowledge by attending NBIN workshops, CIRO, networking, benchmarking practices, and participating in professional events.
  • Performing other duties as assigned.

The ideal candidate will possess :

  • A bachelor's degree in finance, business, information technology or similar field of study.
  • A minimum of 2 years of experience in trading, reconciliation and / or audit roles.
  • A minimum of 2 years of experience in operations within financial services industry, preferably within wealth management or other regulated industry and in a high growth environment.
  • An equivalent combination of education and experience may be considered.
  • Project Management Professional (PMP) considered an asset.
  • Canadian Securities Course (CSC) considered an asset.
  • Proficiency with the MSOffice suite, including Word, Excel, PowerPoint, Teams, and Outlook.
  • Proficiency in systems similar to SS&C, Advent, Envestnet & Morningstar.
  • Proficiency in NBIN or alternative custodial systems such as Refinitiv, Thomson One, Netrep and imost.
  • Demonstrate a high level of accountability, reliability, adaptability, and innovation in accomplishing day-to-day work and long-term goals.

  • An excellent attention to detail.
  • Exemplary interpersonal and influencing skills; an ability to communicate effectively and work collaboratively, across multiple mediums (in-person, over the phone, and virtually).

  • Strong critical thinking and written and verbal communication skills.
  • An ability to maintain the highest levels of confidentiality.
