Job description

Metrolinx is connecting communities across the Greater Golden Horseshoe. Metrolinx operates GO Transit and UP Express, as well as the PRESTO fare payment system. We are also building new and improved rapid transit, including GO Expansion, Light Rail Transit routes, and major expansions to Toronto’s subway system, to get people where they need to go, better, faster and easier. Position Overview:

Provides executive support by advising and recommending actions on a variety of topics related to policy, process, programs, and communications as well as managing special projects and continuous improvement activities.

What will I be doing?

  1. Leading and coordinating process improvement initiatives by identifying inefficiencies, analyzing root causes, and driving implementation of sustainable solutions.
  2. Applying structured problem-solving techniques (e.g., Lean, root cause analysis) to improve operational performance and service delivery.
  3. Collaborating with cross-functional teams to document workflows, facilitate workshops, and ensure follow-through on improvement actions.
  4. Identifying and executing quick wins that resolve operational pain points or unblock stalled initiatives.
  5. Navigating internal systems and relationships to move initiatives forward and resolve cross-functional blockers.
  6. Assisting in the planning and execution of projects, tracking milestones, risks, and deliverables to ensure timely and effective outcomes.
  7. Supporting core and emerging Capital Finance programs such as budgeting, KPI tracking, trend analysis, forecasting, business systems training, and governance processes.
  8. Monitoring project performance and reporting on progress, outcomes, and lessons learned using dashboards or other tools.
  9. Maintaining and improving internal tools, templates, and documentation to support high-quality project delivery.
  10. Preparing materials such as presentations, reports, and briefing notes to support communication and decision-making.
  11. Preparing briefing materials and ensuring executive readiness for meetings, decisions, and stakeholder engagements, while tracking follow-ups and commitments to ensure accountability.
  12. Triaging incoming issues and requests, assessing urgency, and recommending prioritization or escalation paths.
  13. Gathering informal feedback and surfacing emerging themes or risks to inform leadership awareness and decision-making.
  14. Providing support to the VP and Capital Finance leadership team, including coordinating meetings, preparing materials, managing priorities, and ensuring timely information flow.
  15. Contributing to a culture of continuous improvement by surfacing issues, sharing insights, and championing better ways of working.
  16. Other duties as assigned.

What Skills and Qualifications Do I Need?

  1. Degree in business, commerce, engineering, or a related field, or an equivalent combination of education and experience.
  2. 3–5 years of project experience, including developing recommendations and navigating sensitive issues across functions and industries.
  3. Self-starter with the ability to work independently, take initiative, and mobilize resources.
  4. Strong analytical and problem-solving skills, with experience in business process improvement, risk assessment, and operational optimization.
  5. Proficiency in MS Office (Excel, PowerPoint, Word), data-driven decision-making, and familiarity with Lean, project management, and change management principles (certifications are a plus).
