Responsibilities

  • Perform a variety of administrative and clerical activities for multiple staff, ensuring timely adherence to deadlines.
  • Support multiple partners through calendar and email management, invoicing, A/R, travel bookings, arrangements, and expense reports.
  • Manage calendars—coordinate meetings, respond to changing priorities, organize logistics, AV, catering, and prepare supporting materials.
  • Review upcoming deadlines, manage workflow, and handle documents for review or signature.
  • Prepare and modify templates, letters, reports, presentations, and spreadsheets; research and summarize information/data.
  • Assist with RFP responses, proposals, and research requests.
  • Format, edit, and create client correspondence, presentations, proposals, reports, and spreadsheets.
  • Maintain opportunities, client accounts, and contacts in CRM platform.
  • Collaborate with team members and leadership.
  • Assist with team meetings and event planning.
  • Record and distribute minutes; maintain filing systems.
  • Support systems used by the Administration team and provide backup support.
  • In-office commitment of 2-3 days a week.

Skills And Experience

  • 5+ years of increasingly complex administrative responsibilities.
  • Post-secondary education in administration is an asset.
  • Advanced to expert skills in Microsoft Office Suite (Word, PowerPoint, Excel).
  • Excellent judgment, problem-solving, and proactive work approach.
  • Strong client service skills, professionalism, discretion, and tact.
  • Confidence working in a technical, dynamic environment.
  • Excellent organizational and time management skills.
  • Flexibility to work overtime as needed.
  • Experience in a professional services or partnership firm is an asset.
  • Experience with proposals and procurement processes is an asset.
  • Some travel may be required.
