Role Overview:
Our client in the asset management sector is a private family office of multiple entities. Working alongside another seasoned, professional Office Administrator, your responsibilities will be to provide high-level administrative support to the President, CFO, and CIO with duties including but not limited to:

  • Reception including greeting guests, directing phone calls, managing and distributing mail, coordinating courier services, and handling deliveries.
  • Perform routine tasks such as filing, drafting, copying, editing, scanning, faxing, and courier coordination.
  • Review, organize, and respond to regular correspondence.
  • Organize and manage internal and external meetings.
  • Assist with the coordination and preparation of presentations, reports, supplemental schedules, and data summaries.
  • Compose general correspondence, transmittal letters, meeting minutes, and notes as requested.
  • Manage event logistics, including catering, room organization, and guest assistance.
Qualifications:
  • 5+ years senior administrative or executive experience within financial services, asset management, investment company, or private family office is preferred.
  • Strong computer skills – hardware (printers/scanners, etc.), software (MS Office, Adobe, etc.), and video conferencing applications (Zoom, Teams).
  • Familiarity with Portals/Data Rooms/Sharing Sites – uploading, downloading, sharing information, etc.
  • Self-motivated, and able to work independently and as part of a team.
  • Attention to detail with exceptional verbal and written communication.
  • Strong organizational skills with the ability to multi-task.
  • You must have exceptional English communication skills, be polished and professional.
