Job description

Position : Senior Accountant

Reports to : Executive Director (ED) and Treasurer

Participates in : Regular staff meetings, 1 : 1s with ED and Treasurer, meetings with Leadership

This is an in-office position - 30 hrs a week

Salary : $60,000

Overview

The Synagogue Accountant is responsible for maintaining financial records, monitoring financial performance, and providing timely reporting and analysis to the ED, Treasurer, and Finance Committee.

Key Responsibilities

1. Financial Management and Reporting

  • Collaborate with the ED, Treasurer, and department heads to create annual budgets.
  • Maintain financial systems including ShulCloud : ShulCloud is an all-in-one synagogue management platform that supports membership, finances, and communications. In this role, the Senior Accountant will use ShulCloud to oversee payables and receivables, reconcile transactions, and ensure accurate financial tracking within the system and QuickBooks Desktop.
  • Monitor monthly budget variances; obtain Treasurer and / or ED approval for non-budgeted items and report exceptions to ED and Treasurer.
  • Prepare monthly financial reporting packages for the Treasurer and Finance Committee.
  • Manage day-to-day banking, term deposits, and long-term investments; monitor cash flow.
  • Enforce financial policies and procedures with input from ED and Treasurer.
  • Ensure compliance with all federal and provincial regulations; (prepare and) remit GST, WorkSafeBC, T3010 charity return, and other statutory filings .
  • Maintain confidentiality and security of all financial information.
  • Maintain insurance records, negotiate premiums, and ensure adequate coverage of all Temple property, including cemetery and D&O insurance.
  • Prepare and issue accurate tax receipts in compliance with CRA guidelines.

2. Accounting and Financial Records

  • Revenue and Accounts Receivable
  • Manage annual membership commitments collections and reporting and other receivables using ShulCloud and supplementary databases (with peer assistance).
  • Invoice members, donors, and grant agencies for all revenues including annual commitments, building fund, school and B’nai Mitzvah fees, rentals, funerals, fundraising, and grants.
  • Monitor payments and follow up on unpaid accounts; raise concerns to the Administrator as needed.
  • Work with the Director of Congregational Engagement to manage financial matters with members and supporters.
  • Deposit payments (cash, cheque, credit card, direct debit)
  • Liaise with brokers for donation of securities process pre-authorized donations on a monthly basis.
  • Expenses and Accounts Payable

  • Record and process all vendor invoices and expenses reports in QuickBooks.
  • Prepare and process payments with appropriate approvals.
  • Liaise with vendors to ensure competitive pricing and accuracy of billing.
  • Administer and reconcile VISA expenses, ensuring validity and accuracy.
  • Payroll

  • Process semi-monthly payroll using Dayforce / Powerpay.
  • Ensure CRA payroll tax remittances are completed.
  • Prepare and file annual T4s, T4 Summary, and other payroll-related filings.
  • Submit quarterly WorkSafeBC reports and payments.
  • Administer and remit RRSP contributions; support ED with annual group benefits changes.
  • 3. General Ledger and Financial Statements

  • Maintain the general ledger and journals using QuickBooks.
  • Prepare monthly balance sheets and income statements with budget comparisons for review by ED and Treasurer.
  • Reconcile all bank accounts monthly.
  • Prepare annual financial statements for the AGM.
  • 4. Cemetery Accounting

  • Process cemetery license renewals and year-end transactions.
  • Manage the perpetual care fund.
  • Handle plot sales and purchase contracts with staff assistance.
  • Maintain sub-ledgers for plot and funeral revenues and funeral-related expenses.
  • 5. Special Project Work

  • From time to time the organization will conduct special projects such as capital campaigns or operational fundraisers. The Senior Accountant is expected to manage the accounting duties to accurately track and record receipts and disbursement relating to such initiatives..
