Job description

We are seeking a highly organized, proactive, and collaborative Section Coordinator to join the Development Services Branch within the Urban Planning and Economy Department. This is a unique opportunity to play a pivotal role in leading administrative functions and providing essential support to the Director, ensuring the smooth operation of the Safety Codes, Permits, and Inspection section. As the Section Lead, you will be an integral part of the Development Services Branch, primarily responsible for overseeing clerical and administrative functions for the Safety Codes Permits, and Inspection section. This role also involves providing high-level administrative support to the Director. Your responsibilities will span asset management, procurement, and software administration, alongside offering technology training and guidance to staff. Furthermore, you will be instrumental in leading and managing project outcomes for the section. This position requires a blend of independent work and collaborative efforts, contributing significantly to the efficiency and effectiveness of the section.

What will you do?

  • Provide Director and Branch Leadership support by managing the Director's communications and calendar, prepare critical materials for Council Meetings, and ensure robust oversight of corporate and departmental procedures
  • Lead initiatives for administrative process refinement and prepare official documents to City standards
  • Oversee all aspects of our digital communication infrastructure, including documentation, procurement, and incident management
  • Facilitate training on current software applications and technical troubleshooting for staff
  • Manage mobile device inventory, billing, and coordinate all software and hardware approvals, purchases, and refreshes
  • You'll be the key point person for our City's Safety Codes Council account, managing financial details, designations, and coordinating essential training for our Safety Codes Officers
  • Guide supervisors through efficient onboarding and offboarding processes, coordinating necessary training and accesses, and ensuring the timely return of City assets
  • Complete position management workbooks for new positions and position moves
  • Manage multiple priorities and tasks with little to no supervision, ensuring the section is running smoothly
  • Lead a variety of small to medium projects as assigned by the Director, this includes conducting research, developing recommendations, implementing projects, and establishing Standard Operating Procedures (SOPs) to ensure successful outcomes
Qualifications

  • Completion of the twelfth (12th) school grade, including business subjects with emphasis on general office practices, or completion of an appropriate certificate program from an approved business school/college
  • 3 years progressively responsible experience in a large, complex organization

  • Experience using large databases and systems such as POSSE, Ariba, Peoplesoft, Org Plus, Cimpl, Taleo, Remedy, and Angus Service Portal

Conditions of Employment:

  • Hire is dependent on a Criminal Records Check (CRC) security clearance that is satisfactory to the City of Edmonton and is a requirement of this position. There may be a cost associated with this requirement

Work Environment:

  • Note: This position may be eligible for a hybrid work arrangement with the flexibility to work from both home and the worksite as per the Letter of Understanding between the City of Edmonton and Civic Service Union 52
  • The weekly hours of work for this position are currently under review and may change at a future time. Any changes will be made in accordance with the City of Edmonton/Civic Service Union 52 collective agreement and the incumbent will be notified in advance

Hours of Work: 33.75 hours per week

Salary Range: $28.644 - $35.917 Hourly $50,463.57 - $63,276.77 Annually

Salary ranges are in the process of being updated in accordance with the recently ratified collective agreement between the City and CSU 52 and will be forthcoming shortly.
