A Day in the Life of a Secretariat Coordinator

The Secretariat Coordinator plays a vital role in supporting the governance and administrative functions of the organization. This position ensures efficient planning and organization of meetings, conferences, and engagements for various advisory committees and key executives. The coordinator facilitates smooth communication and coordination between committee members, staff, and leadership while also providing essential support to corporate governance processes. Additionally, the role involves collaborating on ad hoc projects and event planning across the organization.

Education

  • Post-secondary qualification in a relevant field and/or comparable experience in a corporate governance role

Experience and skills

  • Minimum of 3 year’s experience with secretariat systems and procedures for managing meetings, creating agendas and tracking follow-up items.
  • Expertise in developing and implementing guidelines, processes, and procedures for coordinating Council and committee work, including agenda setting, meeting follow-up, and communication.
  • Proven ability to effectively communicate with senior leaders and committee members with sensibility and discretion
  • Ability to plan and analyze issues, policies, and documentation, ensuring alignment with governance structures.
  • Ability to handle multiple responsibilities simultaneously, efficiently managing tasks under pressure.
  • Ability to understand and apply governance documents such as terms of reference, policies, and procedures.
  • Solid knowledge of MS Office and record keeping

Key Activities
  • Prepare draft agendas, engaging with the Chair, senior executives, and relevant stakeholders to finalize them.
  • Draft accurate meeting minutes, reflecting the discussions and decisions made by the committee.
  • Track follow-up actions and coordinate necessary documentation to support the governance of Council and committees.
  • Oversee the review and approval process for papers and ensure the timely distribution of agendas, minutes, and related documentation.
  • Manage the logistical arrangements for committee meetings, events, and conferences.
  • Assist with onboarding and training of committee members and support alignment between committees.
  • Assist in processing travel expense claims and managing purchase requisitions and invoices related to committee meetings.
  • Oversee ad hoc projects that enhance the operations of SSB (Standardization Services Branch) and the activities of PTAC and SDOAC.
  • Support senior policy analysts on projects and contribute to organization-wide initiatives, ensuring consistency in implementation.
