Pembina Hills School Division invites applications for the position of Regular Full-Time School Administrative Support III based out of École Westlock Elementary School.

The Division

Pembina Hills School Division provides education to approximately 3600 students in 16 community schools, including two Hutterite Colony Schools and two outreach schools. PHSD also offers education to over 10,000 students through Vista Virtual School. For more information, visit our website.

The School

The Position

The successful candidate must be a self-directed team player supporting the administration team and managing daily school operations. Flexibility and adaptability in a fast-paced environment are essential. Hours are Monday to Friday, 7.5 hours daily, aligned with the school calendar. The position starts August 22, 2025, and ends June 25, 2026.

Responsibilities
  • Providing a welcoming atmosphere for students, parents, staff, and visitors
  • Performing finance and accounting duties, including purchasing, account reconciliation, budget monitoring, and reporting
  • Managing data and generating reports
  • Updating the school website
  • Supervising students and providing support as needed
  • Liaising with regional and educational authorities
  • Tracking and inputting staff absences
Qualifications
  • Strong organizational and self-motivation skills
  • Excellent communication and public relations abilities
  • Proficiency in writing, proofreading, and editing
  • Ability to prioritize and manage multiple tasks
  • High confidentiality standards
  • Ability to work independently and collaboratively
  • Experience with budgets, purchase orders, petty cash, and invoices
  • Proficiency in Microsoft Office and other relevant software
  • Experience with PASI, Genius SIS, Rycor, PowerSchool is an asset
  • Post-secondary training in office administration is an asset
