Job description

Job Description

The Scheduling Assistant is a team member working in a time-sensitive and deadline-driven environment, allocating and scheduling staff in accordance with the unit operational requirements, policies, and procedures. Under the direction of the Staffing Services Manager and the individual department manager, the Scheduling Assistant will book coverage for advance needs, project work, emergencies, workload increases (such as ambulance escorts, patient watch), and short-term/long-term leaves. Support the creation of master schedules, review requests, timecards processing, pay reconciliations, and investigation of scheduling incidents. The Scheduling Assistant will work closely with their portfolio managers to ensure staffing initiatives are completed. Various duties will also include data entry, filing, and documentation of all calls regarding absence due to sickness or other reasons.

What else do you bring?

  • Experience with a computerized scheduling program (ESP/Kronos preferred).
  • A minimum of two (2) years of recent experience in scheduling, timekeeping, and building of master rotations (healthcare experience preferred).
  • Computer literacy in a Windows environment utilizing Word, Excel, PowerPoint, and Outlook.
  • Understanding of Collective Agreements and scheduling rules in a hospital environment.
  • Excellent computer skills and proven communication and problem-solving skills.
  • Good interpersonal and organizational skills, excellent time management skills.
  • Strong customer service skills, telephone etiquette, and display of core values.
  • Proven attendance record.
  • Demonstrates understanding and complies with patient and staff safety policies and procedures that foster a safe and inclusive environment for all.
  • Ability to perform the essential duties of the job.
  • Effectively uses empathy in interactions with others and demonstrates behaviours consistent with Mackenzie Health’s Commitment to Caring.

Preferably, your profile also includes:

  • University Degree or College Certificate/Diploma.
  • Area of study in Business or Health Administration (preferred).
  • Payroll Certification an asset.
  • Previous experience within the Scheduling Assistant classification.
