SCHEDULING ASSISTANT - SUMMER STUDENT

Temporary Contract, June 2 to July 25, 2025 (8 weeks)

35 hours per week, $17.50 per hour + mileage when delivering Meals on Wheels

(Monday – Friday, 8:30am - 4:00pm)

The Scheduling Assistant will integrate into a team of customer support personnel, providing service and answering queries, and confirming service appointments and bookings for clients of the agency. Scheduling and booking will also require coordination with agency drivers, ensuring that timetables align, accounting for contingencies and adapting to developing schedule changes in real-time.

Tasks and Responsibilities

  • Answer client inquiries and redirect calls to appropriate departments in a timely and courteous manner
  • Confirm client service appointments/bookings
  • Assist clients with the creation of grocery shopping lists/orders
  • Coordinate with agency drivers to ensure that client bookings align and include adequate contingency plans
  • Address scheduling conflicts in a timely manner
  • Enthusiasm to help with other duties as required to support the scheduling, transportation, and Meals on Wheels teams
  • Deliver Meals on Wheels routes

Requested Skills/Qualifications

  • This job is funded through Canada Summer Jobs 2025, and to be eligible applicants must:
    • Be between 15 and 30 years of age at the start of employment
    • Be a Canadian citizen, permanent resident or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act for the duration of the employment
    • Have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada in accordance with Ontario legislation and regulations
  • Successful candidate must be available to work for the entire 8-week contract
  • Valid G2 (at minimum) Driver’s License and daily access to a safe, licensed and reliable vehicle for business-related travel
  • Satisfactory police records check for the vulnerable sector
  • Working knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Superior multi-tasking and organizational skills
  • Superior attention to detail and confidentiality
  • Strong interpersonal skills with an enthusiasm for working with people
  • Experience operating a multi-line telephone system and using a database preferred
  • Experience providing customer service an asset
  • Experience with older adults, volunteers and/or persons with diverse abilities an asset
  • Ability to communicate in a language other than English an asset
