Scheduling and People Systems Administrator - FT

Administration Full Time Kamloops, BC Hybrid $25.95 - $29.76 CAD per hour

Interior Community Services is looking for a proactive Scheduling and People Systems Administrator to join our HR team. If you thrive on organization, enjoy working at the intersection of technology and people, and want to make a meaningful impact in your community, this could be the role for you.

What You’ll Do

  • Coordinate staff scheduling to cover vacancies, absences, and program needs.
  • Assign shifts based on seniority and collective agreement rules.
  • Track shift offers, acceptances, declines, and communicate updates to the Supervisor and HR.
  • Manage monthly call-outs, notify staff, post rosters, and maintain accurate scheduling in internal systems.
  • Ensure payroll reflects scheduling changes.
  • Compile and post monthly staff availability calendars and maintain up-to-date call-out / contact lists.
  • Troubleshoot scheduling issues, escalating as needed.
  • Provide basic training and create resource guides for people systems such as time tracking, client info management, and HR systems.
  • Maintain On-Call Manager and After-Hours schedules, including emergency contacts.
  • Support supervisors in setting up systems for data tracking.
  • Perform related administrative duties as required.

What You Bring

  • Completion of a post-graduate diploma (preferred) or certificate in administration or a related field.
  • Minimum 2 years of administrative experience; scheduling experience is an asset.
  • An equivalent combination of education and experience will also be considered.
  • Quick to learn new technology and skilled at helping others feel confident using it.
  • Proficient with Microsoft Office and experience in using business software such as payroll, databases, HR systems, and scheduling tools.
  • Highly organized with strong time management skills.
  • Detail-oriented and proactive in identifying and solving problems.
  • Familiar with scheduling practices and collective agreement procedures.
  • Communicates clearly and professionally, both in writing and speaking.
  • Able to train and support others in using digital systems and tools.
  • Experience working in a unionized environment and knowledge of collective agreements is an asset.

  • This position requires Union membership with a 1.85% Union Dues deduction from the pay
  • A BC Class 5 Driver's License and access to a reliable vehicle is an asset.

DEPARTMENT : Human Resources

STATUS : Full-Time

HOURS of WORK : 37.5 hours per week

SCHEDULE : Monday to Friday, 8 : 30 am - 4 : 30 pm

REPORTS TO : Human Resources Director

COMPENSATION : $25.95 - $29.76 per hour (Grid 10 as per collective agreement)
