Job summary

Altasciences is seeking a Sample Management Coordinator to oversee the handling of biological samples collected during clinical trials. You will ensure tasks are performed in compliance with study protocols, GCP, and SOPs, while maintaining confidentiality and high-quality service.

Primary responsibilities include sample preparation, processing, inventory, equipment maintenance, and liaison with study operations. Montreal location may require French language skills.

Qualifications

  • High School Diploma or GED is required; college degree preferred.
  • Minimum 1 year of related experience.
  • Ability to read/interpret technical documents and manuals.
  • Strong written and verbal communication in English; French may be required for Montreal location.

Responsibilities

  • Ensure confidentiality of participants and sponsors.
  • Maintain high level of customer service within the department.
  • Report deviations to supervisory team.
  • Handle protocol-driven events and time windows.
  • Perform sample handling, processing, and inventory tasks.
  • Maintain sample management equipment and document it.
  • Communicate with clinical/study operations teams on statuses.
  • Coordinate with external vendors for shipments and central lab.
  • Generate and distribute sample manifests.
  • Assist in resolving data queries and training tasks.

About The Role

The Sample Management Coordinator is responsible for the management of biological samples collected during clinical trials. The Sample Management Coordinator will ensure tasks performed are conducted within compliance of study protocol, Good Clinical Practices (GCP) and Standard Operating Procedures (SOPs).

What Youll Do Here
  • Ensure the confidentiality of clinical trial participants and sponsors is respected.
  • Maintain and advocate a high level of customer service and quality within the department.
  • Report procedural deviations to appropriate supervisory team members.
  • Understand protocol driven timed study events and acceptable windows (protocol and/or SOP driven) for the timed events.
  • Perform clinical trial activities which may include but are not limited to tube/aliquot preparation, sample handling/processing and sample inventory.
  • Ensure study specific sample management procedures are executed when handling biological samples.
  • Maintain equipment used in sample management (i.e. freezers, refrigerators, centrifuges) and document accordingly.
  • Maintain a continuous line of communication with clinical/study operations teams on sample management statuses.
  • Act as a liaison to the clinical/study operations teams.
  • Assist in the resolution of data queries.
  • Proactively communicate issues and/or problem resolutions to departmental supervisors and managers.
  • Complete and/or maintain training as required per job needs.
  • Coordinate with external vendors (i.e. shipment couriers and central lab).
  • Generate and distribute sample manifest reports.
  • Other tasks assigned by management.
What Youll Need to Succeed
  • High School Diploma or GED required; college degree and related work experience preferred.
  • Minimum of 1 years of related experience.
  • MS Word, Excel, Outlook and Power Point.
  • Ability to read and interpret technical documents and industry specific manuals.
  • Ability to write and speak effectively before groups of customers or employees of the organization.
  • Bilingual proficiency in French may be required, depending on location.
  • Excellent verbal and written communication skills.
  • Well developed interpersonal skills are required.
  • Personal/professional integrity and proven discretion in handling confidential information.
  • Ability to develop strong trusting relationships in order to gain support and achieve results.
  • Capable of managing multiple conflicting priorities.
  • Must be self-directed, motivated, and have a willingness to take the initiative to identify and anticipate client needs and make recommendations for implementation.
  • Detail oriented, well organized, customer service focused and ability to work in fast-paced environment.
  • Good Communication (French and English for Montreal location).
