Office Coordinator

Key Responsibilities
  • Office Needs Management: Oversee all office needs, including inventory management, vendor relations for cleaning, maintenance, seasonal landscaping, and safety committee participation.
  • Management Committee Expenses: Process expense reports, reconcile receipts, ensure policy compliance, and manage budgets.
  • Travel Arrangements: Coordinate and book travel for the Management Committee, adhering to policies and budgets.
  • System Support: Support and train staff on Concur (expenses) and Egencia (travel systems), ensuring compliance and troubleshooting issues.
  • Meeting and Event Setup: Prepare and execute meetings, town halls, and events, including logistics, equipment, catering, and communication.
  • Vendor Communication: Manage external vendor relationships, communications, and issue resolution.
  • Team Communications: Disseminate internal updates, announcements, and reminders.
  • Employee Events: Plan and execute events like the annual BBQ and holiday parties, collaborating with HR and adhering to budgets.
Qualifications and Skills
  • High school diploma required; associate or bachelor’s degree preferred.
  • Minimum 5 years of administrative support experience, supporting senior leadership is a plus.
  • Experience in office operations, vendor management, budget oversight, and event planning.
  • Familiarity with expense and travel booking systems (e.g., Concur, Egencia).
  • Excellent organizational, communication, and multi-tasking skills.
  • Proficiency in Microsoft Excel, Word, and PowerPoint.
  • Strong budget management, vendor relations, problem-solving, and customer service skills.
  • Ability to work independently and collaboratively in a fast-paced environment.
