Job description

POSITION

We are looking for an experienced and well-organized Sales & Marketing Coordinator to join our team. The successful candidate should have previous experience in a structured sales & marketing environment. The Sales & Marketing Coordinator will report directly to the Director of Business Development working in conjunction with the Operations team to assist and support them with a myriad of sales and marketing related tasks. The Sales & Marketing Coordinator will become the key liaison between our sales team and clients—existing and prospective. The Sales & Marketing Coordinator should be a high‑energy, positive and enthusiastic team player who can thrive in a fast‑paced live events‑based business. This individual should be able to multi‑task, think outside the box, be proactive, and take initiative to get the job done. This position will primarily take place in our office; however, there may be requirements to work offsite at event job sites or client meetings as required by our projects.

OBJECTIVE

To assist and support the Management team in the timely and efficient coordination of all incoming sales enquiries and the preparation of quotes and tracking sheets. To create and update social media posts, gather and sort project collateral, and to constantly review and respond to marketing opportunities.

GENERAL DUTIES
  • Work directly with the Director of Business Development to respond to all sales inquiries in a clear and timely fashion and direct those requests to appropriate parties/team members.
  • Follow up with clients and prospects to procure accurate information for all quotes and upcoming projects.
  • Setup complete dossiers for all quote requests.
  • Assist in the creation of quotes in our internal sales tracking software.
  • Handle the processing of all orders with accuracy and timeliness.
  • Assist the Director of Business Development in prioritizing quote requests and ensuring they are completed and forwarded to clients in a timely manner.
  • Compile, communicate and schedule upcoming and reoccurring projects with team.
  • Maintain sales tracking documents in real time with accuracy.
  • Attend preliminary client meetings and initial site inspections.
  • Gather customer feedback and provide after‑sales support when requested.
  • Sort and file all sales‑related documentation including quote requests, client documentation, renderings, job photos, etc.
  • Reporting directly to the Director of Business Development the Sales & Marketing Coordinator will be responsible for creating, updating and posting our Social Media Content.
  • This will include scheduling and determining timing for all posts.
  • Researching external marketing opportunities.
  • Contribute to a positive, professional, and team‑oriented atmosphere.
  • Other tasks as required.
SKILLS & EXPERIENCE REQUIREMENTS
  • Minimum of five (5) years of professional experience in a similar position.
  • Proven experience in sales.
  • BA or BS in business administration or relevant field; certification in sales or marketing and/or working knowledge of live event or print industries would be assets.
  • Strong computer skills on PC including great working knowledge of Microsoft Office suite.
  • High aptitude for learning new computer programs/software.
  • Proficiency in English.

SCHEDULE
  • Schedule is based on a 40‑hour work week.
  • Office hours are Monday to Friday from 7:30 am to 4:00 pm with evenings, weekends, and overtime on job sites as necessary.
  • This position will primarily take place in our office/shop in Richmond; however, there are requirements to work offsite at event job sites as required by our projects.
SALARY
  • $55,000 to $58,240 per year based on experience and skillset.
