Job summary

Brandt Tractor Ltd. is seeking a Sales Coordinator at our Vars Peterbilt location to support the sales team, prepare quotations, manage documentation, and ensure excellent customer service. You’ll collaborate with Sales Managers, representatives, customers and other departments to streamline the sales and delivery process.

This stepping-stone role into Sales emphasizes organization, accuracy, and timely communication, while offering opportunities to grow within Brandt’s expanding network.

Qualifications

  • High school diploma or equivalent; a degree in business administration or related field preferred.
  • Experience in sales support or administration, preferably in automotive or heavy truck industry.
  • Proficiency in Microsoft Office Suite, CRM software, and inventory management systems.
  • Excellent organizational, multitasking, and communication skills.
  • Strong customer service skills and ability to build long-term client relationships.

Responsibilities

  • Assist sales representatives with customer inquiries and follow-ups to facilitate the sales process.
  • Prepare and manage sales documentation including quotes and contracts under direction.
  • Collect weekly forecast information from the sales team for planning and forecasts.
  • Verify licensing and transfer paperwork for compliance and accuracy.
  • Ensure all PMCVI, purchases and documentation are completed and submitted on time.
  • Coordinate test drives or demonstrations with Territory Manager.
  • Keep customers informed of deliveries and enhance customer relations.
  • Schedule follow-up calls after delivery to ensure ongoing satisfaction.
  • Maintain customer records in Arcadium CRM and support reporting.
  • Stay up-to-date on Peterbilt products, features and industry trends.
  • Support event planning, sales meetings, and customer appreciation activities.

Job description

Brandt Tractor Ltd. has an exciting opportunity for a Sales Coordinator in our Vars Peterbilt location. The Sales Coordinator plays a vital role in supporting the sales team by taking direction under the Sales Manager and coordinating sales activities, preparing sales documentation and quotations, and ensuring exceptional customer service.

This position involves close collaboration with Sales Managers, sales representatives, customers, and other departments within the dealership to facilitate the efficient sales and delivery process of Peterbilt trucks. This is a stepping stone position into Sales.

What You Will Be Responsible For
  • Assist sales representatives with customer inquiries such as walk-in, online inquiries and schedule follow-ups to facilitate the sales process.
  • Prepare and manage sales documentation including quotes, purchase orders, Service shop coordination, update Body Builder schedules and prepare sales contracts under direction of the Sales Manager.
  • Collect weekly forecast information from the sales team and report it back to the Sales Manager to assist in strategic planning and forecasts.
  • Collect and verify the information necessary for filing out (NIVIS), licensing, and transfer paperwork to ensure compliance and accuracy.
  • Ensure that all paperwork, including Purchase, Maintenance, & Compliance Verification Inspection (PMCVI) documents, is completed accurately and submitted on time to the service shop.
  • Collect warranty registration documentation for the Territory Manager’s to get signatures from customers and ensure it is registered correctly with the OEM upon delivery of the truck.
  • Coordinate and assist with the Territory Manager’s test drives or truck demonstrations to align with customer availability.
  • Ensure all department managers are aware of customer deliveries and have a schedule to introduce themselves to the new customers and/or thank existing customers, enhancing customer relations.
  • Assist the Territory Manager’s to schedule follow-up calls for the sales team 30 days after unit delivery to ensure ongoing customer satisfaction and address any post-sale issues.
  • Maintain accurate customer records and manage data within Arcadium CRM system to support sales and customer relationship management.
  • Assist in the preparation of sales reports and analyze data to provide insights on aging inventory, sales strategies, sales programs, and inventory planning.
  • Maintain up-to-date knowledge on Peterbilt products, features, and industry trends to effectively support the sales team and educate customers.
  • Assist with industry event planning, sales meetings, trade shows, and customer appreciation events.
