Job summary

Brandt Tractor Ltd. in Saskatoon Peterbilt location is seeking a Sales Coordinator to support the sales team by coordinating activities, preparing sales documentation and quotations, and ensuring exceptional customer service.

Qualifications

  • Experience in sales support or administration in automotive or heavy truck industries.
  • Proficiency in Microsoft Office, CRM software and inventory management systems.
  • Excellent organizational, multitasking and communication skills with a customer focus.

Responsibilities

  • Assist sales representatives with inquiries and follow-ups to facilitate the sales process.
  • Prepare and manage sales documentation including quotes, purchase orders and contracts.
  • Collect weekly forecast information and report to the Sales Manager for planning.
  • Maintain accurate customer records in the Arcadium CRM system.
  • Coordinate test drives or demonstrations and align with customer availability.
  • Ensure timely submission of paperwork to service shop and keep stakeholders informed.
  • Support event planning, sales meetings and customer appreciation activities.
  • Assist in preparing sales reports and analyze data on inventory and programs.

Brandt Tractor Ltd. has an exciting opportunity for a Sales Coordinator in our Saskatoon Peterbilt location. The Sales Coordinator plays a vital role in supporting the sales team by taking direction under the Sales Manager and coordinating sales activities, preparing sales documentation and quotations, and ensuring exceptional customer service. This position involves close collaboration with Sales Managers, sales representatives, customers, and other departments within the dealership to facilitate the efficient sales and delivery process of Peterbilt trucks. This is a stepping stone position into Sales.

What You Will Be Responsible For
  • Asist sales representatives with customer inquiries such as walk-in, online inquiries and schedule follow-ups to facilitate the sales process.
  • Prepare and manage sales documentation including quotes, purchase orders, Service shop coordination, update Body Builder schedules and prepare sales contracts under direction of the Sales Manager.
  • Collect weekly forecast information from the sales team and report it back to the Sales Manager to assist in strategic planning and forecasts.
  • Collect and verify the information necessary for filing out (NIVIS), licensing, and transfer paperwork to ensure compliance and accuracy.
  • Ensure that all paperwork, including Purchase, Maintenance, & Compliance Verification Inspection (PMCVI) documents, is completed accurately and submitted on time to the service shop.
  • Collect warranty registration documentation for the Territory Manager’s to get signatures from customers and ensure it is registered correctly with the OEM upon delivery of the truck.
  • Coordinate and assist with the Territory Manager’s test drives or truck demonstrations to align with customer availability.
  • Ensure all department managers are aware of customer deliveries and have a schedule to introduce themselves to the new customers and/or thank existing customers, enhancing customer relations.
  • Assist the Territory Manager’s to schedule follow-up calls for the sales team 30 days after unit delivery to ensure ongoing customer satisfaction and address any post-sale issues.
  • Maintain accurate customer records and manage data within Arcadium CRM system to support sales and customer relationship management.
  • Assist in the preparation of sales reports and analyze data to provide insights on aging inventory, sales strategies, sales programs, and inventory planning.
  • Maintain up-to-date knowledge on Peterbilt products, features, and industry trends to effectively support the sales team and educate customers.
  • Assist with industry event planning, sales meetings, trade shows, and customer appreciation events.

  • High school diploma or equivalent; a degree in business administration or a related field is preferred.
  • Experience in sales support or administration, preferably in the automotive or heavy truck industry.
  • Proficiency in Microsoft Office Suite, CRM software, and inventory management systems.
  • Excellent organizational, multitasking, and communication skills.
  • Strong customer service skills and the ability to build long-term client relationships.
