THE ROLE: Sales Coordinator
THE LOCATION: Calgary, AB

We’re looking for an organized, detail-oriented Sales Coordinator to support our Chief Sales Officer (CSO) and entire Sales team. In this role, you’ll keep our sales engine running smoothly by maintaining accurate CRM data, tracking and reporting on RFPs, drafting compelling proposals and agreements, and managing our trade show calendar. You’ll play a key part in keeping the team informed, organized, and focused on closing deals.

THE RESPONSIBILITIES:

CRM Management

  1. Ensure all CRM (HubSpot/Salesforce/etc.) data is accurate, up to date, and properly segmented
  2. Monitor and report on pipeline health, activity metrics, and deal progression
  3. Assist in onboarding and training new team members on CRM best practices

RFP & Proposal Coordination

  1. Track and manage incoming RFPs, including status, deadlines, and follow-ups
  2. Draft, review, and format RFP submissions with input from the Sales Team
  3. Maintain a library of proposal templates and relevant assets

Sales Support

  1. Draft custom sales proposals, presentations, and client agreements
  2. Collaborate with the legal and finance teams to ensure contract accuracy and compliance
  3. Support ad hoc needs of the CSO and Account Executives

Trade Show & Event Management

  1. Maintain and coordinate the master trade show and conference calendar
  2. Assist with registration, logistics, booth coordination, and travel arrangements
  3. Ensure timely follow-up and lead tracking post-event

THE QUALIFICATIONS:

  1. Post-secondary education is an asset
  2. Minimum 2 years of experience in a sales support, sales coordination, or administrative role
  3. Event/trade show coordination experience is an asset
  4. Proficiency with CRM tools (e.g., HubSpot, Salesforce) and Microsoft Office/Google Workspace
  5. Experience with contract or proposal writing is an asset
  6. Strong written and verbal communication skills
  7. Excellent organizational skills and high attention to detail
  8. Ability to multitask, prioritize, and meet tight deadlines
