Description
We are seeking an experienced and proactive Senior Project Manager to lead the planning, coordination, and successful delivery of high-impact digital transformation projects within the Ontario Public Service (OPS). The successful candidate will oversee project execution across various phases, coordinate cross-functional teams, manage project timelines, and ensure alignment with organizational goals. This role requires a strong background in project management methodologies, risk management, and government processes to support the delivery of modernized public services. Key Responsibilities
Project Planning and Execution:
- Develop, execute, and maintain detailed project plans from initial concept through deployment.
- Define project scope, timelines, and deliverables, balancing short-term objectives with long-term goals.
- Monitor project milestones, manage dependencies, and adjust plans as needed to ensure on-time and on-budget delivery.
Cross-Functional Coordination
- Coordinate efforts across diverse teams, including technical, design, and operational teams, ensuring clarity and alignment with project objectives.
- Serve as the primary liaison between the project team and key stakeholders, facilitating ongoing communication and issue resolution.
Risk and Issue Management
- Proactively identify potential project risks and create actionable mitigation strategies.
- Conduct regular project health assessments, ensuring transparency of project status and risks with senior stakeholders.
Stakeholder Engagement and Reporting
- Develop and maintain strong relationships with internal stakeholders, facilitating regular updates and feedback sessions.
- Prepare and present project reports, highlighting key milestones, risks, and changes to ensure alignment with project goals and stakeholder expectations.
Public Sector Compliance and Documentation
- Ensure adherence to relevant public sector standards, guidelines, and policies, including I&IT Directive and the PMO Stage Gate process.
- Complete required documentation for project phases, including business cases, risk assessments, and impact analyses, ensuring compliance with Ontario Government protocols.
Roadmap Creation and Executive Updates
- Develop comprehensive project roadmaps outlining key milestones, deliverables, and timelines.
- Provide regular updates to management and executive teams, ensuring they are informed of project progress, risks, and any necessary adjustments.
Key Deliverables
- Detailed Project Plan: Outline timelines, deliverables, resource allocation, and risk assessment.
- Regular Status Updates: Provide stakeholders with consistent project updates and progress reports.
- Risk Management Plans: Identify and document potential project risks, with proposed mitigation strategies.
- Compliance Documentation: Ensure timely completion of all necessary project documentation, aligned with government standards.
- Project Roadmaps: Create and maintain roadmaps to guide project execution and communicate key milestones.
Experience and Skill Set Requirements
Project Management Expertise:
- Proven experience managing large-scale, multi-phase projects, with a track record of on-time and on-budget delivery.
- Strong knowledge of project management tools (e.g., Microsoft Project, Jira, Trello, Azure DevOps) for tracking and managing progress.
Stakeholder Communication and Relationship Management:
- Ability to build and maintain relationships with stakeholders across multiple departments.
- Excellent written and verbal communication skills, including delivering executive-level project updates and reports.
Risk and Budget Management:
- Skilled in risk identification, assessment, and mitigation.
- Proficiency in project budget planning and monitoring.
Public Sector Experience:
- Familiarity with Ontario’s PMO Stage Gate process and government protocols.
- Experience managing projects within regulated environments, adhering to policies and security practices.
Technical and Tool Proficiency:
- Working knowledge of Microsoft Azure cloud platform and related practices.
- Proficiency with collaboration tools like Microsoft Teams, Miro, Atlassian Confluence.
Soft Skills:
- Adaptability and problem-solving skills.
- Leadership and collaboration abilities.
- Attention to detail in managing complex deliverables.
Desirable Skills and Experience:
- Experience with Agile and Scrum methodologies.
- Familiarity with ITIL framework and related procedures.
- Experience with privacy, security, and compliance documentation.
