The Job :

The retail reception coordinator is an important part of the Vesta retail experience. They are the first line of contact with customers who visit the showroom and are often the first impression that a prospective client will get of the business. They have two primary responsibilities.

  • The coordination of retail orders post the sale being completed (scheduling the template, the installation, confirmation, and balance collection).
  • Showroom reception and administrative duties.

Coordination of retail orders :

Retail reception coordinators take an active job file from a sales associate and are responsible for pushing the job over the finish line.

This includes but is not limited to sending introductory communication to the customer to indicate they’re responsible for the order moving forward. Proactively monitoring the orders in our ERP software, and ensuring that the job is pacing towards completion. Proactively ensuring production milestones are occurring, and if they’re not, pushing production to get the order back on track. Communicating estimated dates and confirmed dates to customers. Communicating with production. Ensuring all essential forms are included in SPS orders for provision to retail (i.e. installation forms) to ensure installations and job completions occur smoothly.

Reception and Administrative Duties :

Retail reception coordinators are administratively and organizationally key to the operation of the retail division.

Their jobs include :

  • Administrating front desk duties
  • Booking client and partner appointments for sales associates, project managers, and cabinetry designers.
  • Administration on sales, sales tracking, based on the retail commission structure, for review by the showroom manager.
  • Daily administration on sales reporting for weekly sales meetings, and yearly and monthly forecasts.
  • Daily administration and tracking on showroom traffic and phone call inquiries.
  • Administration of completed jobs from the project manager, including final balance collection via phone or email.
  • Fielding, redirecting, and administrating phone inquires, email inquires, website inquiries, and in-person inquiries.
  • The retail reception coordinator should have excellent communication skills and a client-centric approach to providing customer service.

    What We're Looking For In A Successful Individual :

  • Minimum : 6-12 months of experience assisting with order processing, tracking, or follow-up in a retail or production environment.
  • Minimum : 6-12 months performing administrative tasks such as scheduling, data entry, or maintaining records.
  • Excellent Communication Skills : Ability to actively listen, present solutions effectively, and build rapport with customers.
  • Problem-Solving Abilities : Ability to think on your feet and provide creative solutions to customer needs.
  • Tech-Savvy : Familiarity with design software, CRM systems, and order processing tools is a plus.
  • Detail-Oriented & Organized : Ability to manage multiple projects, maintain accurate records, and follow up effectively.
  • Team Player : Works well in a fast-paced, collaborative environment.
  • Initiative : A "take the opportunity and run with it" attitude and operating with a focus on urgency and objectives
