Overview

Position: Retail Administrative Coordinator

Department: Retail Operations

Reports to: Manager, Retail Systems & Logistics

The Retail Administrative Coordinator is responsible for all administrative processes in the Retail Operations department and will act as the first point of contact for admin support for the department. This role will also liaise between the Retail Operations and Arena Operations departments and the Finance department, ensuring invoices are processed on a timely basis.

Responsibilities
  • Database/Inventory Management: Responsible for all receiving of product into inventory systems
  • Support with SKU and Purchase Order creation
  • Enter data into retail back-office system
  • Assist with inventory preparation and annual counts, managing RA’s and any product write offs
  • Coordinate, execute and reconcile internal interdepartmental purchase orders and inventory transfers
  • Work on event nights and/or weekends as required to provide necessary support to the business
  • Finance Support: Act as key contact between Finance and Retail Operations and Arena Operations departments
  • Ensure invoices are processed on a timely basis including matching to receiving reports, discrepancy follow-up and coding
  • Reconcile vendor account statements and ensure proper documentation is submitted to finance for return-to-vendors and credits
  • Prepare month-end inventory accruals
  • Assist with month end inventory reconciliation, analyzing discrepancies between Retail and Arena Operations systems and Finance systems
  • Reconcile card statements and ensure supporting documentation is submitted to finance and monthly deadlines are met
Qualifications
  • At least two years of experience in accounting and/or an administrative inventory role with experience in sales analysis
  • Strong data entry skills
  • Highly organized with excellent attention to detail
  • Effective problem resolution and communication skills
  • Strong data entry skills
  • Ability to work effectively in a team environment with a strong client service focus
  • Solid working knowledge of MS Office and POS operating systems
