Wiehler Mechanical Ltd. in Calgary is seeking a reliable Residential Plumbing & HVAC Administrative Assistant to support both departments and keep daily operations running smoothly.

You will answer phones and emails, maintain job files, obtain city permits, process invoicing and POs, coordinate with vendors, and ensure accurate data entry with strong attention to detail and organization. We offer a competitive wage of $25–$27 per hour to start, plus health and dental benefits and a matching RRSP

Qualifications

• 3+ years of administrative experience.
• 1+ years of plumbing or HVAC administration experience.
• Proficiency with Microsoft applications (Excel, Outlook, Word).

Responsibilities

• Provide administrative support to the plumbing & HVAC department, including answering phones, emails, and correspondence.
• Maintain and update records, databases, and filing systems for projects, clients, inventory.
• Create and maintain job files including invoicing and creating POs.
• Obtain city permits.
• Coordinate with vendors, suppliers, and subcontractors to ensure timely delivery of materials and services.
• Communicate effectively with clients to address inquiries, schedule appointments, and follow up on service requests.
• Handle large volumes of data entry with high accuracy.
