Job description

UBC Properties Trust was established in 1988 with the mission to assist UBC, through optimization of land assets, to achieve the academic and community goals of its Place and Promise mandate. We develop, service, and lease residential land at UBC to create communities and build UBC’s endowment for future generations. We construct and manage rental properties to provide residential, retail, and office space to support workforce housing and other academic objectives. We provide project management services to construct institutional buildings for UBC and advise on land use and development. We operate on both the Point Grey campus and UBC Okanagan; and have two property management divisions, Village Gate Homes and Wesbrook Properties.

Since 2001, Village Gate Homes has been developing, leasing, and managing rental housing for UBC’s full-time, permanent faculty and staff. Village Gate Homes now has nearly 1,319 homes, including rental apartments, city-homes, and townhomes across 18 buildings. All buildings are located in either the Hawthorn Place or Wesbrook Place neighbourhoods at UBC. There are also new buildings in the pipeline that will be added to the portfolio in the next couple of years.

Current Residential Housing includes a total of 1,480 units: Azalea, Sumac, Cascara, Gardenia, Tamarack, Larkspur, Dahlia, Magnolia, Nobel, Webber House, Cypress, Pine House, Mundell, Oakwood, Evolve, Echo, Theory, and Symphony.

Current Retail & Student accommodations include David Strangway with seven commercial tenants and MBA House with four commercial tenants and eighty-one graduate-student rental accommodations.

The Opportunity

Reporting to the Maintenance Supervisor, the Residential Caretaker engages with building residents, as well as Property Managers and Administrators, to ensure that the building, common areas, and grounds meet a first-class standard that enhances property appeal and resident satisfaction. This position is responsible for the maintenance of assigned buildings and units within the UBC faculty and staff portfolio. The successful candidate will be required to live on-site in one of the managed buildings at the Point Grey UBC campus.

Key Responsibilities (including but not limited to):

Property and Building Maintenance

  • Completes all building maintenance and service requests to the highest standards, including cleaning all common areas, supervising trade contractors, and record keeping of work performed. Conducts minor repairs and emergency maintenance (e.g., appliance failure).
  • Provides recommendations for preventative maintenance.
  • Distributes fobs, parking passes, and keys to residents.
  • Performs regular building and public realm audits to identify deficiencies, tenant breaches, and follows up accordingly.
  • Works proactively to ensure timely completion of maintenance activities and adherence to preventative management programs and seasonal building maintenance.
  • Is knowledgeable of the Building Emergency Response Plan and oversees regular tests of emergency generators and fire alarm systems.
  • Establishes and communicates safety procedures to minimize liabilities, including break-ins, community criminal activity, injuries, fires, and floods.
  • Works on call one day per week and one weekend on a scheduled roster (with one month’s advance notice).
  • Performs other tasks and duties as assigned.
  • Collaborates closely with Property Leasing Administrators on internal processes and procedures.
  • Performs move-in and move-out inspections with residents.
  • Completes caretaker checklists prior to move-in, reports deficiencies, and conducts move-out inspections, notifying Property Manager of concerns.
  • Understands landlord legal obligations related to tenant lease agreements, tenant rights as outlined by RTB, and Residential Tenancy Agreements.
  • Responds to maintenance requests from Property Administrators and reports for work scheduling.
  • Provides excellent customer service and responds promptly to tenant inquiries with a friendly, professional attitude.
  • Performs other tasks and duties as assigned.

Competencies and Qualifications

  • Strong written and verbal communication skills in English; second language an asset.
  • Experience in conducting minor maintenance.
  • Attention to detail and accuracy in reporting.
  • Positive, discreet demeanor with excellent customer service skills.
  • Maintains personal hygiene and professional appearance.
  • Understanding of the Privacy Act and confidentiality requirements.
  • Proficient with technology and smartphones.
  • Experience working safely with cleaning supplies and chemicals used in building operations.
  • Knowledge of RTA.
  • Ability to work on call and respond to emergencies after hours and on weekends as scheduled.
  • Good organization, planning, and time management skills.
  • Ability to work collaboratively and as part of a team.
