Summary
As the
Rentals and Events Coordinator, you will play a pivotal role in the planning and execution of rental events at The Rooms. Reporting directly to the Facility Manager, you'll be responsible for fostering innovation, collaboration, and community engagement to ensure the success of every event.
Key Duties & Responsibilities
Event Planning and Execution:
- Design and coordinate a range of events, from in-house gatherings to third-party functions.
- Utilize your critical thinking skills and resilience to overcome challenges and adapt to changing circumstances.
- Drive innovation and creativity in event concepts and design, using digital tools for enhanced engagement.
- Build new rental client base to promote revenue growth.
Stakeholder Collaboration:
- Collaborate with internal and external stakeholders, including staff, clients, vendors, event planners, tourism leaders, and others to ensure seamless event execution.
- Build and maintain strong relationships and reputation within the community.
Budget and Resource Management:
- Manage event budgets, invoicing, logistics, and resource allocation to optimize efficiency and profitability.
- Ensure that resources are used effectively to deliver exceptional experiences for our clients and guests.
Community Engagement:
- Engage with the local community to promote participation in our events and secure sponsorships and support.
- Foster a sense of community spirit and ensure customer satisfaction throughout the event planning and execution process.
Communication and Liaison:
- Serve as the primary point of contact for all event-related communications, both internal and external.
- Demonstrate excellent communication skills and cultural sensitivity to ensure effective interaction with diverse audiences.
Operational Oversight:
- Oversee all aspects of event management, from initial planning to post-event evaluation.
- Coordinate logistics, including the delivery of event materials and financial transactions, with precision and attention to detail.
Knowledge & Skills
- Bachelor’s degree in business administration, event management, travel and tourism, or a related field.
- Minimum of 3 years' experience in event coordination or a similar role.
- Proven ability to coordinate events of varying scales and complexities.
- Calm under pressure.
- Strong organizational skills, multitasking abilities, and detail oriented.
- Budget management experience.
- Familiarity with event management software.
- Flexibility to work irregular hours and adapt to changing conditions.
- Excellent interpersonal and negotiation skills, with a track record in sales, marketing and promotion.
- Cultural sensitivity and knowledge of legal compliance related to event management.
- Commitment to community service and sustainable event practices.
