Job description

The Sr. Grants Administrator is responsible for the pre and post award management of a portfolio of grants and contracts within the Department of Psychiatry. This involves interaction with and coordination of all interrelated areas, including sponsor, institutional, and departmental policies and procedures.

The candidate will report directly to the Research Administrator for the Brigham Department of Psychiatry and will work closely with Investigators and their staff. The candidate is required to maintain a collaborative working relationship with investigators, research fellows, and all other related research personnel within the group, maintaining open communication with the Research Administrator.

Education

Bachelor's Degree in a related field required; Master's preferred.

Can this role accept experience in lieu of a degree? No.

Experience

Research administration experience of 3-5 years required.

Knowledge, Skills, and Abilities
  • Strong analytical and organizational skills, with flexibility to handle multiple tasks and deadlines.
  • Excellent interpersonal and management skills; ability to interact professionally with staff at all levels.
  • Excellent verbal and written communication skills, tact, discretion, and ability to interact with diverse backgrounds such as M.D.'s, Ph.D.'s, and research administrators.
  • Proficiency in Microsoft Office, Word, Excel, Access, and Internet applications.
  • Organized and flexible in a dynamic environment requiring continuous priority monitoring.
  • Highly goal-oriented, self-motivated, and capable of working independently and in teams.
  • Willingness to embrace new challenges and adapt to change.
  • Ability to work with large financial data sets accurately.
  • Good knowledge of research agency, sponsor, and organization funding guidelines and policies.
  • Ability to work independently and make sound judgments and resolve problems.
Primary Responsibilities

Collaborate with Principal Investigators to:

  • Prepare and review budgets for grant proposals, ensuring compliance with policies and procedures.
  • Coordinate all aspects of grant submission, including budgets, justification, and compliance with NIH and other funding agency requirements.
  • Manage JIT and Progress Report submissions, including assisting with Other Support page compliance and reminding PIs of upcoming reports.
  • Provide effort and UOB information for reports.

Ensure fiscal compliance on sponsored projects, including salary and effort allocation, expenditure approval, budget monitoring, and problem investigation. Make recommendations for cost savings and rebudgeting, verify fund availability, and ensure compliance with federal requirements. Resolve financial and grant issues independently, escalating complex situations as needed.

Maintain communication regarding grants management, serve as liaison between internal and external groups, and update PIs on regulation and policy changes from grantor agencies.
