Job summary

Hazelview Properties is seeking a Regional Administrator to oversee office operations for a designated region in Toronto. You will handle resident relations, administration, and coordination of lease-related tasks in a fast-paced, service-driven environment.

The role requires 2–3 years of administrative experience, strong Microsoft Office skills, and knowledge of Yardi is a plus. A base salary ranges from CAD 55,000 to CAD 65,000 with bonuses and comprehensive benefits.

Qualifications

  • Degree/diploma or equivalent experience.
  • 2–3 years of administrative experience in a busy office.
  • Strong computer skills including Microsoft Office; Yardi is an asset.
  • Experience in customer service and property management exposure is an asset.

Responsibilities

  • Manage office administration for the region, including supplies, filing, email and calls.
  • Provide residents with timely information and resolve concerns.
  • Draft collection notices and administer leases, deposits and charges.
  • Coordinate lease renewals and support regional projects.
  • Assist in new software rollout and regional reporting.

Job description

The Regional Administrator will thrive in a fast-paced, entrepreneurial environment and will be responsible for managing the office administration functions for an assigned region. This position requires the ability to multi-task, be resourceful, make independent decisions, and prioritize in a fast-paced environment. The individual must possess strong organizational skills with an emphasis on customer service, excellent interpersonal skills, and a strong sense of initiative and analytical thinking.Key

Responsibilities:
Customer Service:
  • Ensure a superior level of co-operation, service and support is provided to residents, thereby ensuring that Hazelview is a landlord of choice
  • Maintain good resident-landlord relations
  • Provide direct escalation support for site teams regarding resident correspondence.
  • Ensure accurate and timely documentation and resolution of resident concerns.
Office Administration:
  • Will be required to know basic coordination of office administration including ordering office supplies, organizing and maintaining filing system, email, phone calls and walk-in visitors
  • Provide information to residents and ensures all resident concerns are acted upon in a timely manner
  • Draft collection notices
  • Ensure terms of the lease agreements are met and administers damages/security deposits and charges
  • Provide Building Managers with lists of leases coming up for renewal
  • Assists the Regional Manager on any pending projects and assignments
  • Assist in the implementation of new software and automation tools (e.g., mail merge, Rhenti support).
  • Oversee and coordinate Hazelnet content updates for the region.
  • Handle regional-level reporting, including insurance, accounts receivable (AR), VOR, lease renewals, and expiries.
  • Coordinate outbound communications, issue demand letters, and liaise with collections agencies.
Accounting:
  • Assist Payscan process, where needed
  • Review rental applications, lease agreements or change in status forms to ensure they are complete and accurate and submit to lease administration at head office for entry
  • Facilitate review of rent rolls and aged accounts receivables as required by head office
  • Process correspondence as required under local housing laws and regulations (i.e. N4's, L1's, Releve 4, etc.)
Leadership & Management:
  • Provide training to new Team Members on systems and Hazelview processes and procedures
Job Requirements:
Education and Experience:
  • Degree/diploma and/or an equivalent combination of education and/or experience
  • 2-3 years of administrative experience, preferable in a busy office
  • Strong computer skills including Microsoft Office (Excel, Word, Outlook) Experience with Yardi would be an asset
  • Experience in a customer service role would be an asset
  • Exposure to the Property Management Industry would an asset
Qualifications:
  • Excellent communication is required. Ability to speak other languages is considered an asset

Compensation:

This posting is to backfill an existing position within the team.

The expected annualized base salary range for this position is $55,000 - $65,000. The actual salary offered will take into consideration a wide array of factors including, but not limited to, the individual’s skill, experience, and relevant education or training.

Base salary is only one component of Hazelview’s competitive total rewards package.
