Edmonton, Alberta

Full-Time | Permanent

Monday to Friday, 8:30 a.m. – 4:30 p.m.

$22–$24 per hour, based on experience

Position Overview

Capital City Women’s Centre is seeking a Referral Coordinator & Medical Receptionist to join our Obstetrics and Gynecology Clinic in Edmonton.

This position provides a combination of medical reception, referral coordination, appointment scheduling, patient service, and administrative support to physicians, patients, referring healthcare providers, and the clinic team.

The ideal candidate is organized, dependable, detail-oriented, professional, and comfortable working in a busy healthcare environment where priorities may change and multiple tasks require attention.

The successful candidate will understand the importance of accuracy, confidentiality, respectful patient communication, timely follow-up, and teamwork.

Key Responsibilities
Referral Coordination
  • Receive, review, and direct incoming patient referrals according to clinic procedures.
  • Review referrals for required information and documentation.
  • Enter and maintain accurate referral and patient information.
  • Track referrals from receipt through physician review, triage, and appointment booking.
  • Communicate with referring healthcare providers regarding missing information and referral status.
  • Coordinate appointments according to physician triage decisions and clinic booking guidelines.
  • Maintain accurate and timely referral records while protecting patient confidentiality.
Medical Reception & Patient Services
  • Welcome patients and provide a professional and respectful first point of contact.
  • Register and check in patients for appointments.
  • Confirm and update patient demographic and contact information.
  • Verify Alberta Health Care information as required.
  • Answer, screen, and direct telephone calls.
  • Respond to patient inquiries in a professional and timely manner.
  • Schedule, confirm, reschedule, and cancel appointments in accordance with clinic policies.
  • Explain clinic procedures and administrative requirements clearly and respectfully.
  • Manage patient flow and communicate delays or changes appropriately.
  • Respond professionally to patients who may be anxious, frustrated, or distressed.
Administrative Support
  • Maintain accurate electronic and paper records.
  • Process incoming and outgoing correspondence, faxes, and other communications.
  • Provide administrative support to physicians and Medical Office Assistants.
  • Maintain organized reception and administrative work areas.
  • Maintain reception supplies as required.
  • Follow clinic privacy, confidentiality, safety, and workplace procedures.
  • Identify and elevate urgent or time-sensitive matters appropriately.
  • Participate in process improvements and other administrative duties as assigned.
  • Contribute to a positive, respectful, and collaborative workplace.
Required Qualifications
  • High school diploma or equivalent.
  • Previous administrative experience, preferably in a healthcare or medical office environment.
  • Demonstrated computer proficiency.
  • Strong record-keeping and organizational skills.
  • Ability to maintain strict confidentiality when handling personal health information.
Preferred Qualifications & Assets
  • Medical Office Assistant (MOA), Medical Administrative Assistant, or related training.
  • Experience coordinating patient or specialist referrals.
  • Experience with an electronic medical record (EMR) system.
  • Knowledge of Alberta’s healthcare system and referral processes.
  • Experience working in a specialist or surgical clinic.
  • Experience with Netcare, Connect Care, or other Alberta healthcare systems.
  • Previous experience with medical reception and appointment scheduling.
