Job Description

As an administrative assistant at Viewpoint, you will provide administrative support, performing tasks such as answering phones, greeting visitors and offering assistance, handling correspondence, assisting with data entry, and maintaining office organization.

Key Responsibilities:
  • Reception coverage, including greeting assessors, examinees, and visitors and offering assistance
  • Ensuring examinees are promptly checked in, assessors are notified, and all appropriate service forms are completed and signed
  • Calling scheduled transportation for examinees, where applicable
  • Notify all appropriate parties of changes to appointments and any changes to the schedule
  • Data entry
  • Printing, scanning, uploading, photocopying, and filing documentation
  • Record management
  • Maintaining office organization
  • Preparing assessment rooms for examinees
  • Providing support to staff and management, including handling correspondence
  • Answering phone calls promptly in a professional and welcoming manner
  • Maintaining the highest level of privacy of personal information and personal health information
Qualifications
  • Relevant post-secondary/community college education
  • 3 years’ experience working in a client service, administrative position, or medical facility
  • Proficient computer efficiency (Microsoft Office, Outlook, Internet, Adobe Acrobat)
  • Solid and effective verbal and written communication skills
  • Ability to be resourceful and proactive in dealing with issues that may arise
  • Ability to organize, multitask, prioritize and work under pressure
