Job summary

‘Na̱mǥis First Nation is seeking a Receptionist/Office Assistant in Alert Bay, BC. This part-time, onsite role supports Early Childhood Development Programs and NVI AIDP with clerical tasks and front-desk responsibilities.

The position requires strong communication, organizational skills, and confidentiality. A Grade 12 plus office administration credentials are preferred, with 2 years of client-record experience and proficiency in Microsoft Office.

Qualifications

  • Grade 12 or equivalent preferred; a certificate/diploma in office management/administrative support is an asset.
  • Two years of experience with client records is an asset.
  • Experience using Microsoft Word, Excel, PowerPoint and data entry databases.

Responsibilities

  • Answer, screen, and forward incoming calls and messages.
  • Respond to general inquiries and handle paperwork, photocopying, and filing.
  • Check business email and sort messages.
  • Order janitorial and office supplies and arrange service/maintenance of equipment.
  • Arrange staff meetings with the ECD Manager and maintain staff in/out board.
  • Perform other duties as assigned.

Salary: Level 09, $22.87 per hour - $26.54 per hour, commensurate with experience

About The Role

We are seeking a part-time full-time (17.5hours/week) Receptionist/Office Assistant to provide clerical support for the Early Childhood Development Programs and for NVI AIDP.

Key Responsibilities
  • Answer, screen, and forward incoming calls and messages
  • Respond to general inquiries
  • General paperwork, photocopying, and filing
  • Check business email and sort
  • Order janitorial and office supplies
  • Arrange for service and maintenance of office equipment
  • Arrange staff meetings with the direction of the ECD Manager
  • Maintain staff in/out board
  • Perform any other related duties that may be assigned from time to time.
Education
  • Grade 12 or equivalent preferably.
  • Completed certificate or diploma in office management/administrative support as asset.
Experience
  • Two years of experience with client records, an asset.
  • Experience with Microsoft applications (Word, Excel, PowerPoint), and data entry database, including keyboarding, word processing, and other computer standards.
  • Ability to work in a challenging environment and adapt to change
Additional Requirements
  • Valid BC Class 5 Driver’s License and reliable vehicle.
  • Clean criminal record check pertaining to work with children and vulnerable adults.
  • Ability to work flexible hours, including evenings and weekends.
  • Demonstrated communication skills - written and verbal
  • Organized with the ability to react efficiently to tasks in a busy work environment
  • Demonstrate the importance and adherence to confidentiality.
