Time Type:Regular Job Description :This part-time, in-office position is based at our Place Ville Marie office in downtown Montreal, with dual responsibilities in reception coverage during lunch breaks and absences, as well as facilities coordination. The successful candidate will play a vital role in supporting day-to-day office operations, ensuring a welcoming front-desk presence, and coordinating various facilities-related tasks
KEY RESPONSIBILITIES
Provide reception coverage by professionally managing the switchboard, directing incoming calls, taking messages, and escalating issues as needed.
Greet and assist visitors, issue badges, manage sign-in/out logs, and handle incoming/outgoing mail and courier deliveries.
Maintain visitor badge and parking pass distribution, and update internal phone directories as required.
Support the Facilities department by managing dashboards, reports, and documentation, and processing service requests via ServiceNow.
Coordinate with vendors and contractors for building maintenance, cleaning, security, and related services.
Participate in audits, assist in maintenance projects, and follow up on corrective actions to ensure compliance with health, safety, and environmental standards.
Manage inventory and expenses related to office and facilities supplies.
Contribute to the improvement of internal processes to enhance service and operational efficiency.
Perform additional administrative and facilities support duties as assigned.
ESSENTIAL QUALIFICATIONS
ACADEMIC TRAINING
High School Diploma required.
Post secondary education preferred
WORK EXPERIENCE
Minimum 2 years relevant experience.
Minimum 1 year’s experience operating a high volume multi-line switchboard. Familiarity with general organizational structures and Nortel switchboard is required.
SPECIFIC COMPETENCIES
Strong communication skills (written and verbal) combined with a pleasant and professional telephone manner and attitude.
Bilingualism (French and English) is mandatory as the employee will need to interact with colleagues from outside of Quebec.
Highly organized and detail oriented with the ability to identify, field, resolve, and/or escalate customer inquiries or issues.
Solid interpersonal skills and customer focus. As an ambassador of Cogeco, demonstrates a high level of professionalism (i.e. demeanor, presentation) and a winning customer service attitude.
Must be proficient in MS Word and Excel and demonstrate navigation abilities within a Windows environment.
Ability to work and multi-task in a fast paced environment with limited supervision.
Self motivated with the ability to take initiative and resolve problems independently. Monitors own quality of work.
Open to change with a learning attitude towards work and to contribute to teams.
General understanding of broadband, telecom, cable and internet industries is an asset.
