Accountability & Objective

Our Receptionists are the heart of our community – they are our guest experience ambassadors! Welcoming guests into our community with a smile and setting the tone for their experience, Receptionists are responsible for providing exceptional customer service while upholding high standards of excellence, which reflect a key value of our residences. Under the direction of the Office Manager, provides administrative support including clerical and reception duties for the efficient operation of the residence.

Background & Qualifications
  • Minimum of grade 12 education required.
  • Minimum two years experience in a receptionist or clerical role within a hospitality setting is considered an asset.
  • Basic bookkeeping experience is preferred.
  • Proven typing and general office administration skills.
  • Effective communication skills, both written and verbal, in English.
  • Ability to work with minimal supervision and demonstrate strong problem-solving skills.
  • Proficient in computer skills (Microsoft Office Suite, Word, Excel).
  • Strong multi-tasking skills and ability to work independently and as part of a team.
  • Resident-oriented individual whose values align with those of the residence.
Key Responsibilities
  • Participate in and adhere to continuous quality improvement standards.
  • Greet residents and visitors, answer and direct telephone calls professionally and courteously.
  • Order, maintain, and monitor office supplies and inventory.
  • Handle inquiries, including marketing calls, directing them appropriately.
  • Coordinate with the Marketing department for resident move-ins, including welcome packages, orientation, and keys. In their absence, book appointments and give tours.
  • Provide clerical support to management and staff (data entry, photocopying, faxing, filing, minutes, spreadsheets).
  • Assist with security by monitoring incoming and outgoing residents, guests, and visitors.
  • Keep the reception area tidy.
  • Manage incoming/outgoing mail, accept deliveries, ensure paperwork accuracy.
  • Record and store lost property.
  • Track guest meals and revenue using POS systems, including special events.
  • Maintain communication and public relations with residents, families, staff, and the public.
  • Assist with setting up and taking down programs, activities, and events.
  • Create and distribute the daily resident census.
  • Maintain contact lists for residents, emergencies, families, etc.
  • Communicate effectively with co-workers and supervisory staff.
  • Perform other duties as assigned by the Office Manager or delegate.
  • Comply with all policies, procedures, mandatory training, and safety regulations, including health and safety acts, fire drills, and pest control programs.
