The Winnipeg Civic Employees’ Benefits Program (WCEBP) provides pension and long term disability benefits to employees of the City of Winnipeg and eight other participating employers. Its Member Services section delivers plan administration services, including the complete processing of activities such as retirements, relationship breakdowns, changes to employment status, and deaths, in accordance with the applicable plan text, established service standards, policies and procedures, and legal and regulatory requirements. Staff of the WCEBP work in a highly technical financial environment requiring attention to detail, accuracy, and confidentiality.

Under the general direction of the Director of Member Services, the Receptionist serves Members by welcoming and directing them appropriately, monitoring and maintaining the main telephone and electronic communications systems, processing service requests, maintaining the reception area, and providing ongoing support to the staff of WCEBP. This position also performs other duties appropriate to the position classification, as assigned, to assist in the efficient operation of Member Services.

As The Receptionist (Clerk A) You Will

  • Greet, welcome, and announce visitors and callers appropriately;
  • Receive in-person, telephone and e-mail inquiries, screening and forward them to the appropriate individual;
  • Maintain a safe and clean reception area by complying with policies and procedures;
  • Support staff to maintain continuity of service, including documenting and communicating actions and continuing needs;
  • Process service requests and direct Members by giving instructions;
  • Process notification of deaths by monitoring obituaries daily, corresponding with funeral homes, and recording information provided by next of kin;
  • Receive incoming mail and confidential documents and forward appropriately in accordance with privacy and record-keeping policies and procedures;
  • Monitor and update an Outlook calendar of Member appointments and other meetings;
  • Other duties as assigned.

Your Education And Qualifications Include

  • High school diploma, including completion of university entrance mathematics, or equivalent combination of training and experience.
  • Strong communication and relationship building skills - demonstrated ability to communicate and deal effectively with customers and colleagues and to exercise tact and good judgment.
  • Demonstrated ability to represent WCEBP in a professional manner at all times, including respecting and maintaining confidentiality and privacy of all matters and Members.
  • Demonstrated excellent organization skills and ability to meet established performance standards of productivity and quality.
  • Mathematical proficiency is required.
  • A working knowledge of business English, spelling and general office procedures, including demonstrated ability to keyboard accurately 40 wpm.
  • Demonstrated proficiency in the use of Microsoft Office, with strong Excel and Outlook skills.
  • Demonstrated ability to follow written and oral instructions, and communicate effectively.
  • Ability to work under stressful conditions.
  • Ability to work independently with minimal supervision.
  • Must have demonstrated acceptable attendance and job performance relevant to this position.
