Reporting to on-site management, the Receptionist will respond to all incoming calls, greet and direct all visitors, and answer inquiries in a positive and professional manner.

Key Responsibilities

  1. Answer all incoming calls and respond to caller's inquiries in a positive, professional manner;
  2. Redirect calls as appropriate and take clear, concise messages when required;
  3. Greet, assist, and direct all visitors;
  4. Pick up and sort internal mail;
  5. Stamp, deliver, and maintain mail machine for external mail;
  6. Prepare packages and arrange courier pick up;
  7. Arrange meeting room schedule and bookings;
  8. Update phone and distribution lists;
  9. Maintain a clean, safe, fully stocked, and well-organized reception area;
  10. Assist with small projects as required by other administrative support (i.e., labels, bulk mailing, etc.);
  11. Complete other duties as assigned;
  12. Uphold and promote the organization's values and philosophy relating particularly to ethics, morality, and integrity.


Qualifications

  1. Above average interpersonal, oral, and written communication skills;
  2. Previous experience in reception is considered an asset;
  3. Must exhibit a professional and polished telephone manner;
  4. Ability to handle multiple tasks at once, work under pressure, and meet deadlines;
  5. Highly organized and detail-focused;
  6. Expertise in Microsoft Office (Word, Excel, PowerPoint, E-Mail).
