OVERVIEW

We are seeking a friendly and enthusiastic individual to assist with our Lower School Reception for the start of the 25/26 school year this September. Hours of work will be Monday to Friday from 11:45am to 3:00pm. This position may also be required to assist with our aftercare programme between 3:00pm-6:30pm. This position will work the school year from September to June.

Key reception duties will include:

•Greets, receives, and directs all students, parents and outside visitors as needed, including late students (specifically younger students) to class if they are late

•Answers all incoming/outgoing phone requests from parents and teachers

•Respond as appropriate to incoming emails and other inquiries, including follow up for any excusal issues for student absence, contact Health Centre Nurse regarding a child illness

•Distribute packages and mail and complete any filing required

•Receive various items dropped off, to be picked up by students or staff, including lost and found items.

•Assist with the Lower School activities and club coordination and signup

•Assist the Lower School Head and Administrative Assistant with administrative duties when needed.

•If assigned After Care hours, duties will include:

•always maintaining a safe and supervised environment

•plan and facilitate a range of activities to engage students

•follow and enforce all safety guidelines and procedures, including health and safety protocols

•maintain accurate attendance records and incidents reports

•report all incidents and discipline issues to Lower School Head

•always display a pleasant and enthusiastic demeanor

•communicate effectively to parents and students regarding any issues or concerns

QUALIFICATIONS

•Post-secondary education in an administrative program would be an asset.

•Minimum three (3) years’ administration experience, preferably in an educational environment

•Knowledge of standard desktop software (ex. MS Office, database), general office equipment (ex. fax, photocopier), as well as knowledge of SignUpGenius, Pick A Time will be an asset.

•Excellent interpersonal skills, exemplary communication skills, and problem-solving skills with a strong ability to exercise tact and discretion in welcoming callers and visitors and responding to requests

•Strong sense of professionalism and teamwork

•Ability to maintain confidentiality with a high degree of sensitivity and diplomacy when engaging with faculty, students and families

•Strong ability to adapt to changing situations and coping with stressful situations.

•Experience working with young children/students

•Demonstrated capacity to physically assist children, including lifting and meeting physical demands analysis when necessary.

•Current First Aid and CPR certification an asset.
