As a Receptionist/Administrative Assistant your responsibilities will include:

  1. Answering and directing telephone inquiries
  2. Greeting external clients
  3. Coordinating schedules of staff
  4. Receiving payments
  5. Receive/send daily couriers
  6. Working independently and within a team environment to support the client service staff to produce high quality client deliverables
  7. Managing electronic and paper-based client files and compilations of tax returns
  8. Format financial statements in compliance with Firm standards
  9. Preparation of letters and reports using firm templates in compliance with Firm standards
  10. Proof-read, review for quality and verify content before finalizing any client deliverables
  11. Preparing hard files for clients based on requests from the external client service team and new client setup processes
  12. E-filing as required
  13. Scan documents and embed in electronic file
  14. Participate in training and stay current with DoaneGT software
  15. Provide billing support using various DoaneGrant Thornton systems and in accordance with the terms of the engagement letter
  16. Assist in the preparation and submission of time and expense reports for the partner(s) supported
  17. Organize information and maintain database for marketing purposes using our contact relationship management software
  18. Plan and coordinate cost-effective and sometimes complex domestic and international travel arrangements and itineraries for individuals and groups
  19. General administrative duties including, but not limited to: filing, photocopying, scanning, faxing and mailing

Think you’ve got what it takes to be a Receptionist/Administrative Assistant? Like the colour purple? Great. Here's a few more boxes we’re also hoping you can tick:

  1. 2 to 4 years of recent administrative experience; professional services experience is an asset
  2. Excellent data entry and word processing skills with high attention to accuracy and detail. Must have an aptitude for proofreading and suggesting alternatives
  3. Professional and eager to learn with a desire to become a strong contributing member of our administrative team
  4. Ability to multi-task, prioritize, and be skilled at working within tight deadlines
  5. Take initiative, with strong problem-solving skills
  6. Excellent verbal and written communication skills
  7. Excellent client service mindset
  8. Computer savvy with the ability to learn and troubleshoot various computer programs including Microsoft Office
  9. Experience with AP, AR, or any accounting software is an additional benefit (Ex. Caseware)
  10. Experience in financial statement preparation an asset
  11. Occasional overtime may be required during peak season

At Doane Grant Thornton, we’re committed to ensuring our compensation practices are fair, equitable and competitive. To get the conversation started, we’re happy to share that our current base salary for this role ranges from $42,000-$48,000 in Trail, BC. If this role is available in another location(s), the associated salary range in that location(s) may vary based on relevant factors, including geography.
