THE OPPORTUNITY: Receptionist

Calgary Health Foundation is looking for a receptionist who will provide day-to-day administrative support to the team and guests, bringing both customer service and administrative skills to the position.

Key accountabilities of the role include:

  • Greet and assist guests, maintain a regular presence at reception, and manage incoming calls by screening, resolving, or directing donor inquiries appropriately.
  • Process phone donations and update donor database.
  • Act as a point of contact within the office and with external parties, maintaining reception procedures documentation.
  • Handle outgoing and incoming mail and packages, maintain the postage machine, and keep reception, boardrooms, kitchen, and common areas tidy throughout the day.
  • Monitor, order, and maintain office and kitchen supplies inventory, including catering and event needs, and place service requests for building maintenance.
  • Provide administrative support across teams by assisting with data entry, calls, mailings, archiving files, and supporting event planning activities such as with the Social Committee.
  • Maintain prize inventory with the Senior Accountant through regular counts and event preparation, while completing other assigned duties with attention to detail.

THE IDEAL CANDIDATE

The ideal candidate for this role is a professional, friendly, and highly organized individual who thrives in a collaborative environment. They are the first point of contact for clients, visitors, and staff, and play a key role in creating a welcoming and efficient front office experience. Bringing strong MS Office skills, excellent communication and customer service abilities, and proficiency in both oral and written communication, the successful incumbent will play a critical role in ensuring a welcoming environment for all guests.

Additional qualifications:

  • Post-secondary education in a related discipline.
  • A minimum of one year of previous work experience in an administrative or receptionist role.
  • Experience with Raiser’s Edge NXT or other donor databases is a plus.

ADDITIONAL INFORMATION

It is expected that the starting salary for this position will be $45,000 - $50,000, aligned with the successful candidate's experience and skill set.
